Supply Chain Coordinator
The Supply Chain Coordinator is responsible for managing inbound shipments from domestic and international vendors to the company's distribution centers. This role oversees purchase order execution, production tracking, freight coordination, customs documentation, and vendor communication to ensure inventory arrives on time and in compliance with company requirements. The coordinator partners closely with suppliers, freight forwarders, customs brokers, and warehouse teams to maintain visibility throughout the inbound supply chain.
Location: Malbon HQ is based in Santa Monica, CA. We are currently operating from a hybrid work schedule of 3 days a week in-office. This role is not eligible for remote or relocation.
What You’ll Do
- Manage inbound purchase orders from XF through final receipt at the distribution center.
- Track production milestones, ex-factory dates, vessel departures, ETAs, and warehouse deliveries
- Coordinate shipments with vendors, freight forwarders, customs brokers, and carriers
- Monitor inbound shipments and proactively resolve delays, documentation issues, and transportation exceptions
- Ensure all import documentation, including commercial invoices, packing lists, HTS classifications, and shipping documents, is complete and accurate prior to shipment
- Coordinate ocean, air, and domestic freight bookings to support business requirements
- Communicate shipment status, delays, and risks to internal stakeholders
- Partner with Distribution Center teams to prioritize inbound receipts and resolve receiving discrepancies
- Maintain accurate shipment, purchase order, and freight data within ERP and transportation systems
- Assist with customs compliance, import regulations, duty management, and freight invoice reconciliation
- Support inventory planning by providing visibility into inbound inventory and expected delivery dates
- Develop and maintain weekly reporting on supplier performance, inbound freight, and delivery metrics
- Identify opportunities to improve inbound transportation efficiency, reduce freight costs, and streamline supply chain processes
What You'll Bring
- Bachelor's degree in Supply Chain, Logistics, Business, or a related field
- 2–4 years of experience in supply chain, inbound logistics, import operations, or freight coordination
- Experience coordinating international shipments from overseas suppliers
- Knowledge of ocean, air, and domestic transportation
- Experience with ERP systems (NetSuite preferred)
- Strong Microsoft Excel skills
- Excellent organizational, analytical, and communication skills
- Ability to manage multiple priorities in a fast-paced environment
Preferred experience
- Apparel, footwear, retail, or consumer products industry
- International sourcing and import operations
- Freight forwarding and customs brokerage coordination
- EDI, transportation management systems (TMS), or warehouse management systems (WMS)
- HTS classification, import documentation, and duty recovery programs
Compensation
This is a full-time position with an expected salary range of $70-$75K. Compensation decisions are determined using a variety of job-related factors such as skill set, geographic location, market demands, experience, and education / certifications.
