Project Account Coordinator
Mallory Alexander International Logistics, a global third-party logistics company (3PL) headquartered in Memphis, TN has an immediate opening for a Logistics Professional to join our team!
The Project Account Coordinator acts as an intermediary to resolve problems and arrive mutual agreements, developing strong relationships with customers and suppliers.
Duties and Responsibilities:
- Set up High-Wide, over dimensional shipments, Turnkey Projects
- Review and respond to voice mail, e-mail or other messages from clients or colleagues within 24 hours acknowledging receipt at a minimum if awaiting further information.
- Respond to Project Team members e-mail, phone calls, or text messages inquiry(s) within two (2) business hours.
- Develop responses to RFI’s/RFQ’s from current and prospective clients as assigned by the Projects Supervisor, Project Manager or Project Director
- Deploy solutions by making transportation bookings and dispatching pickups and deliveries.
- Communicate with clients on all stages of shipments.
- Opens and closes files within the guidelines of the department and company standard practices and policies.
- Obtain all foreign invoices within a reasonable amount of time and immediately approve or dispute said invoices with quick resolution minimizing accounting reconciling.
- All files maintained and ordered by events management process, last event on top with all correspondence in the file in date order.
- Each file must have P&L, file reconciliation, work sheets, and job cost analysis sheets clearly indicating revenues and expenses and all supporting email activity.
- Obtain at a minimum three (3) service options and the relative pricing to analyze prior to the client presentation whenever available.
- Evaluate solutions and make the best service and price options based on client requirements. Also verbally communicating the rational of the recommendation to the client and Project Management whenever requested.
- Project Coordinators are encouraged to engage vendors and carriers of all types in open communication and arrange office visits so the group may evaluate vendor services.
- Meet reporting requirements (KPI’s) as directed and instructed by Project Management.
- Development strong clients and supplier relationships.
- Maintenance of current customer base.
- Coordination and negotiation with subcontractors.
- Good understanding of subcontractors services that will best serve our needs for our customers.
- Plans and directs flow of air/ocean and surface traffic moving to overseas destinations.
- Negotiates with domestic customers, as intermediary for foreign customers, to resolve problems and arrive at mutual agreements.
- Negotiates with foreign shipping interests to contract for reciprocal freight handling agreements.
- Examines invoices and shipping manifests for conformity to tariff and customs regulations.
- Prepares reports of transactions to facilitate billing of shippers and foreign carriers.
- Other duties as assigned
Qualifications:
- 4 years Freight Forwarding Experience, preferably in Project Logistics
- Knowledge of all modes of transportation, domestic, and international, familiarity with transport, overall understanding of import / export business
- Proficient in Microsoft Word, Excel, Power Point
- Good organization, negotiation and communication skills
- Ability to work in a stressful, high profile environment
- Ability to meet deadlines on short notice
- Flexibility to travel, locally to ports and national for customer/project coverage
- Team Player, working well with a variety of personalities.
This position is in office, Monday through Friday.
Range; $75,000 - $85,000
