Ocean Import Coordinator
Mallory Alexander International Logistics, a global third-party logistics (3PL) provider, is seeking a Logistics Professional to join our growing team.
In this role, you will serve as the primary point of contact for customers, overseas agents, and business partners, helping ensure ocean import shipments move smoothly from start to finish. You will play a key role in providing excellent customer service, coordinating shipment details, and maintaining accurate, up-to-date shipment information.
Duties and Responsibilities
- Coordinate and manage ocean import shipments from booking through final delivery.
- Monitor shipment status and proactively track cargo movement from origin to destination.
- Track and trace shipments to ensure departure and ensuring all U.S. customs manifest formalities have been fulfilled by internal departments managing filings (e.g. AMS or ISF filings).
- Communicate with overseas agents, steamship lines, customs brokers, trucking companies, warehouses, and customers to ensure smooth shipment execution.
- Prepare, verify, and transmit arrival notices and delivery instructions.
- Ensure all destination handling fees are paid so shipments can be picked up within free time.
- Resolve shipment delays, holds, demurrage, detention, and other operational issues promptly.
- Report delays or any disruptions to our customers, including the appropriate customer service account manager and supervisor.
- Coordinate with customs brokerage department to provide documentation for entry preparation and transmission upon receipt of clearance documents from overseas agent and/or importer
- Maintain accurate shipment files and documentation in accordance with company and regulatory requirements.
- Update operating system with associated milestones and events.
- Collaborate with accounting regarding billing discrepancies, credit holds, and customer invoicing.
- Other duties as assigned by Ocean Import Manager
Qualifications:
- 2+ years of experience in ocean import freight forwarding.
- Knowledge of sea carrier practices, Incoterms, import documentation, and international trade regulations.
- Strong organizational, communication, and problem-solving skills.
- Proficiency with freight forwarding systems (CargoWise experience preferred) and Microsoft Office applications.
- Ability to manage multiple priorities and deadlines in a fast-paced environment, both on a team and independently.
Pay & Benefits
We offer a competitive hourly rate of $28.00–$31.00, depending on your experience. You'll also receive a comprehensive benefits package that includes medical, dental, and vision insurance, a 401(k) plan, and paid time off (PTO).
Work Environment
This is a hybrid role, requiring 4 days per week in the office and 1 remote workday each week, offering a balance of in-person collaboration and work-from-home flexibility
