Operations Coordinator

As our Ops Coordinator here at Mantra, you will be responsible for supporting the Finance and Marketing functions at the company. You will work cross-functionally to manage administrative tasks that are critical to internal and external processes. 

If you are self-motivated, organized and comfortable managing multiple projects simultaneously, then you will be a good fit for this role. What you will do:

Event Planning & Coordination

  •  Organize and manage events from conception to execution, including internal meetings, conferences, and team-building activities.
  •  Create and manage timelines, budgets, and resources to ensure successful event execution.
  • Oversee vendor management, including contract organization and negotiation.
  • Handle all event logistics, ensuring seamless coordination and delivery.

Project Management

  • Manage multiple events and projects simultaneously with strong organizational skills.
  • Support booth shipment and material inventory for events.
  • Assist with on-ground strategy needs as they arise.
  • Utilize project management tools such as Asana to track progress and ensure timely completion.
  • Manage the Go-to-Market (GTM) calendar and act as the logistics manager for both in-person and virtual GTM events.

Marketing & Promotion

  • Create promotional materials for events, including flyers, brochures, and digital content.
  • Execute digital marketing campaigns, including email campaigns and social media promotion.
  • Understand audience segmentation and targeting to optimize event promotion strategies.

 

 

Call for Proposals

  • Project manage the Call for Proposal (CFP) process, including coordinating proposals for speaking opportunities, gathering speaker bios, drafting conference blurbs, and creating social posts.

Administrative Support

  • Manage the company’s mail operations and ensure efficient administration.
  • Assist with state-level entity compliance administration.
  • Support monthly close processes by collecting and organizing internal receipts.
  • Provide HR administrative support, assisting with onboarding and offboarding employees to improve the overall People Operations experience.
  • Help update the Applicant Tracking System (ATS)

 Who you are/What you have done:

  • You have 1-2 years of experience as a project manager, events coordinator, or in logistics
  • You have a Bachelor's degree
  • Excellent written communication skills, with the ability to craft engaging content.
  • Strong organizational skills and attention to detail.
  • Proficiency in project management tools such as Asana is a plus!
  • Nice to have: Graphic design experience and comfort working in Figma.

The salary range for this position is $50k - $60k range based on experience.
