Salary: $50,000 - $65,000

Location: Remote in the US

Job Description: We are looking for a motivated and detail-oriented Event Coordinator to join our marketing team. This role will involve researching and coordinating a high volume of events, approximately 400 per year, ranging from morning events, special dinners, conference-related events, to happy hours. The ideal candidate will possess excellent organizational skills, a proactive attitude, and be willing to travel as needed to ensure the successful execution of events.

Responsibilities:

  • Event Coordination: Plan and execute a wide variety of events, including scheduling, logistics, vendor management, and on-site coordination.
  • Event Research: Research city demographics to ensure there is a wide target audience within a particular city that meets our ideal customer profile.
  • Logistics Management: Ensure all event logistics are coordinated efficiently, including venue selection, catering, audiovisual requirements, and transportation.
  • Communication: Serve as the main point of contact for event stakeholders, including clients, vendors, and internal teams, ensuring clear and timely communication throughout the planning process.
  • Budget Tracking: Assist in budget management, tracking expenses, and ensuring events are within budget constraints.
  • Travel: Be willing to travel occasionally to oversee and support events as required.
  • Post-Event Evaluation: Conduct post-event evaluations to assess successes and identify areas for improvement.
  • Documentation: Maintain accurate records, contracts, and documentation related to events. Create landing pages for each event and monitor attendance.

Requirements:

  • Organizational Skills: Strong organizational and time-management skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Detail-Oriented: Keen attention to detail, ensuring all aspects of events are meticulously planned and executed.
  • Communication: Excellent verbal and written communication skills, capable of interacting professionally with diverse groups.
  • Team Player: Collaborative attitude with the ability to work effectively within a team and independently when necessary.
  • Adaptability: Ability to adapt quickly to changing circumstances and solve problems creatively.
  • Flexibility: Willingness to work non-traditional hours, including evenings and weekends, based on event schedules.

Preferred Qualifications:

  • Experience: Previous experience in event coordination, hospitality, or customer service roles is a plus.
  • Software Skills: Familiarity with event management software (e.g., Lu.ma, Cvent, Eventbrite, etc.) and Microsoft Office Suite (Word, Excel, PowerPoint).
