Executive Assistant

About Maven

Maven Robotics designs, builds, and deploys intelligent robotics for logistics and manufacturing. Maven is building the first general-purpose robotics system for industrial work. Our mission is to activate autonomous labor at scale and build toward infinitely elastic industrial capacity. We’re a team of engineers, researchers, and operators who have spent our careers working on the hardest problems in AI, robotics, engineering, and autonomous systems. We work at the intersection of advanced research and real-world engineering, turning ideas into prototypes and deployed systems.

At Maven, we build around the realities of industrial work. The robots are designed from first principles for complex physical environments and rigorous commercial standards. They master real tasks that deliver immediate impact, industrial-grade reliability, and intelligence that compounds at scale. We’re growing an ambitious team of people who think in systems, move quickly, and are builders at heart.

About the Role

As an Executive Assistant at Maven Robotics, you will partner closely with and provide high-level support to our CEO, with the potential to expand support to our CFO over time. We’re looking for more than someone who can manage calendars and handle administrative tasks—we’re looking for a strategic partner who can anticipate needs, understand priorities, and help our CEO operate more effectively.

This is a highly visible, high-trust role for someone who is exceptionally organized, proactive, and comfortable operating in a fast-paced technical environment. The ideal candidate is several steps ahead, exercises strong judgment and discretion, and can move seamlessly between executive support, problem-solving, strategic priorities, and office management.

What You’ll Do

  • Act as a strategic partner to the CEO – understanding priorities, anticipating needs, and helping ensure time and attention are focused on the highest-impact work
  • Own a complex and frequently changing executive calendar, proactively managing priorities, conflicts, and scheduling across internal and external stakeholders
  • Manage and prioritize the CEO’s inbox and communications, ensuring important requests and follow-ups are handled appropriately and nothing falls through the cracks
  • Coordinate meetings, travel, agendas, and logistics while anticipating needs and resolving issues before they become blockers
  • Serve as a trusted point of contact for employees, candidates, investors, partners, and other external stakeholders. Handle sensitive and confidential information with exceptional judgment, discretion, and professionalism
  • Support office management – including: coordinating vendors, office supplies, team meals, visitors, and other day-to-day workplace needs to help keep the office running smoothly
  • Take ownership of special projects and operational needs, bringing structure and solutions to ambiguous problems as they arise.

What We’re Looking For

  • 6+ years of Executive Assistant experience, including significant experience supporting C-level or senior executives
  • Experience working within a technology company or technical environment
  • Demonstrated ability to operate as a strategic partner, not just an administrative resource—you anticipate needs, understand the bigger picture, and exercise independent judgment
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities and rapidly changing schedules.
  • Strong experience with complex calendar management and executive email/inbox management.
  • Excellent written and verbal communication skills, with strong attention to detail
  • Highly proactive, resourceful, and comfortable taking ownership without waiting for direction
  • Ability to work onsite in Santa Clara, CA

Nice to Have

  • Previous support for a founder, CEO, or multiple senior executives
  • Background in an early-stage or high-growth startup environment
  • Familiarity with robotics, AI, hardware, or another deeply technical industry
  • Exposure to office management, workplace operations, or vendor coordination
  • A track record of building processes and bringing structure to fast-moving environments
