
Office Coordinator

Key Responsibilities
Front Desk Operations
- Warmly greet visitors and ensure a smooth handoff to the appropriate team or functional area.
- Answer and route incoming calls professionally and efficiently.
- Manage conference room scheduling.
- Maintain essential office resources including the procedures handbook, phone list, office checkbook, and postage account.
- Ensure consistent front desk coverage during absences or breaks.
Office Oversight & Administration
- Coordinate office supply orders through Facilities, including break room needs.
- Manage all incoming and outgoing correspondence (email, mail, faxes, packages).
- Deliver outbound packages to FedEx and USPS as needed.
- Serve as the primary liaison to the building landlord and McNees Facilities for repairs and maintenance.
- Process vendor invoices and forward to Accounting.
- Manage the weekly office deposit, including transport to/from the bank.
- Close dead file listings in Aderant.
Qualifications
Knowledge, Skills & Abilities
- Highly organized self-starter with the ability to work independently while managing multiple tasks and priorities.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint, with the ability to quickly learn new technologies.
- Strong written and verbal communication skills with a commitment to excellent customer service.
- Demonstrated professionalism, strong work ethic, and the ability to maintain confidentiality regarding clients and employees.
- Ability to follow a set work schedule with flexibility for office needs.
- Must work fully onsite in a typical office environment; minimal travel between offices may be required.
Education & Experience
- High school diploma or GED required.
- 3+ years experience in a receptionist, administrative or office coordination role
