Key Responsibilities
Team Leadership and Collaboration
- Direct and mentor a multidisciplinary facilities team, emphasizing a culture of excellent customer service and operational accountability.
- Work closely with office leaders to address specific facility requirements and provide regular updates on infrastructure and risk initiatives.
- Drive the evolution of facilities procedures by identifying and implementing emerging technologies and smart-building solutions.
Insurance and Risk Management
- Lead the annual Property & Casualty insurance renewal process in partnership with Finance and external brokers.
- Oversee the collection and tracking of Certificates of Insurance (COI) for all third-party vendors and contractors.
- Maintain accurate insurance records and documentation to support the Firm’s broader risk management and business continuity plans.
- Ensure facilities and property operations comply with applicable safety regulations, building requirements, and Firm policies.
- Coordinate workplace safety initiatives and facility-related compliance programs.
- Support emergency preparedness, business continuity, and risk management planning.
Vendor and Budget Management
- Manage service contracts and vendor relationships, including negotiating agreements and monitoring performance to ensure high-quality service.
- Track and manage facilities and property budgets in collaboration with the CFO and COO.
- Identify cost-saving opportunities and operational efficiencies.
Facilities and Property Operations
- Oversee all office locations to ensure safe, high-performing, and well-maintained work environments.
- Serve as the primary liaison for landlords and property managers; manage lease compliance, renewals, and occupancy planning.
- Oversee building systems, repairs, and service needs while developing uniform facility standards and SOPs across the firm's multi-state footprint.
- Coordinate space utilization and long-term space planning initiatives to support evolving business needs and firm growth.
Renovations and Construction
- Plan and execute all office moves, renovations, and new build-outs, including space planning, contractor selection, and budgeting.
- Ensure new office designs support efficient workflows and enhance the client experience while minimizing disruption to daily operations.
- Manage construction projects to ensure they are completed on time and within budget, adhering to all safety and productivity standards.
REQUIRED EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Business Administration, Facilities Management, Property Management, or related field (or equivalent experience).
- Seven (7) to ten (10) years of progressive experience in facilities, property, or risk management, with at least three (3) years in a leadership capacity.
- Experience managing multiple office locations or facilities.
- Experience identifying new office locations and implementing hybrid/desk hoteling solutions.
- Ability to maintain a consistent physical presence in the Harrisburg, PA office.
