Job Summary
We are seeking a detail-oriented and organized Medical Records Coordinator to join our growing team. In this role, you will be responsible for managing and coordinating all medical records functions related to Medical Director and Attending Physician services. The ideal candidate will ensure accurate tracking, documentation, and compliance for physician visits, regulatory audits, and survey readiness. This position serves as the primary liaison between providers, facility staff, and administration to support seamless operations and high-quality patient care.
Responsibilities
Physician Visit Coordination
- Maintain and update Medical Director and Attending Physician patient lists
- Track required visit frequencies per regulatory and facility guidelines
- Schedule and confirm physician rounds in coordination with facility staff
- Prepare daily/weekly rounding sheets and visit logs
- Ensure completion and timely submission of all required physician documentation following visits
Medical Records Management
- Maintain accurate, complete, and timely medical records for all assigned patients
- Conduct routine chart audits to ensure physician documentation compliance (timeliness, signatures, required elements)
- Upload, file, and organize physician notes, orders, and related documentation
- Ensure records meet federal, state, and facility regulatory standards
Requirements
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 2+ years of experience in medical records, healthcare administration, or a related role
- Experience in skilled nursing or long-term care settings strongly preferred
- Strong knowledge of medical terminology and healthcare documentation standards
- Familiarity with EMR/EHR systems
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong communication and interpersonal skills
