Job Overview

The Payroll Coordinator is accountable for the accurate, timely processing of semi-monthly payroll for approximately 400 Canadian employees across multiple provinces. This includes validating timesheets and employee changes before every run, calculating off-cycle payments and manual cheques, and ensuring statutory deductions, benefits, and garnishments are processed correctly each cycle.

Reporting to the Senior Manager, Payroll, you're the first point of contact for employees with questions about pay, deductions, or tax matters, and you'll partner with People & Culture to keep employee data consistent across systems and with Finance on reconciliation, month-end, and year-end close, including T4 preparation.

 

What you'll do

Payroll Processing

  • Run semi-monthly payroll — Process payroll for approximately 400 Canadian employees across multiple provinces in ADP Workforce Now, every cycle, on schedule.
  • Validate inputs before each run — Review timesheets, new hires, terminations, and employee changes for accuracy before payroll is submitted.
  • Handle off-cycle payments — Calculate and issue off-cycle payments, adjustments, and manual cheques as they come up.
  • Apply deductions correctly — Process statutory deductions, benefits, garnishments, and other payroll deductions accurately each cycle.

Compliance & Reporting

  • Maintain compliant records — Keep payroll records current and aligned with federal and provincial employment standards legislation across every province you process.
  • Reconcile each cycle — Reconcile payroll reports every pay period and flag discrepancies before they compound.
  • Close month-end and year-end — Support month-end and year-end payroll processes, including T4 preparation.
  • Support audits — Provide payroll documentation and reports for internal and external audits as requested.

Partnership & Improvement

  • Resolve employee questions — Respond to pay, deduction, and tax inquiries promptly and professionally.
  • Keep data aligned across systems — Partner with People & Culture and Finance so payroll data is consistent everywhere it lives.
  • Improve how payroll runs — Identify process gaps and contribute to documentation that makes the function more resilient.
  • Support global payroll — Assist with US, UK, and Australia payroll processing or projects as needed.

What you'll bring to the team

  • Payroll processing experience — 2-3 years processing payroll in a multi-provincial Canadian environment.
  • ADP Workforce Now proficiency — Hands-on experience running payroll in ADP Workforce Now.
  • Canadian payroll knowledge — Solid understanding of statutory deductions, employment standards, and payroll legislation across provinces; PCP certification (or in progress) and US payroll exposure are assets.
  • Accuracy under pressure — A track record of maintaining accuracy while handling sensitive, confidential employee data.
  • Organizational discipline — Experience managing multiple payroll deadlines simultaneously without missing a cycle.
  • Clear communication — Comfortable explaining pay, deductions, and tax matters directly to employees.
  • Excel fluency — Comfortable working with large data sets in Excel for reconciliation and reporting.
