What is the role?

We’re looking for a highly organized, emotionally resilient, and tech-savvy Executive Assistant to support our leadership team and help drive day-to-day operational excellence across the studio. You’ll serve as a trusted partner in managing the leadership team’s time and priorities, ensuring meetings run efficiently, and supporting key studio-level functions.
This role goes beyond traditional admin work — you’ll play a key role in general business operations, working alongside our legal representative and paralegal to handle post-filing administrative work, manage tools and approvals, and help ensure our studio operates smoothly. You’ll also help bring our team culture to life through light-touch event and engagement support.
You’ll thrive in this role if you have a strong service mentality, can anticipate needs before they arise, and bring structure and calm to fast-moving environments.

Responsibilities

In this role, you will:

Executive Support & Administration
  • Calendar & Time Management:
  • Manage complex calendars for the leadership team — prioritize high-value meetings, resolve conflicts, and ensure executives are fully briefed in advance.

Meeting Coordination:

  •  Schedule and coordinate key studio-wide events and cross-functional team meetings; ensure agendas, logistics, and action items are handled.

Administrative Systems:

  •  Maintain organized workflows, filing systems, and ensure timely access to documents and operational information.

Travel & Expense Coordination:

  •  Arrange travel and accommodations; manage expense submissions, reimbursements, and approval flows

Business Operations Support

  • Manage onboarding and administration of internal tech tools (e.g., Google Workspace, Notion, Slack) and maintain user access and permissions.
  • Support cross-functional workflows such as vendor onboarding, internal approvals, and ad hoc operational problem-solving.
  • Help identify and implement improvements that make studio operations more effective and scalable. 
Workplace & Culture Support
  • Assist with planning and executing internal team events, offsites, and casual celebrations.
  • Support team engagement initiatives that promote connectivity and belonging across distributed teams.

Nice to Have
  • Experience supporting leadership in a high-growth, startup, or studio environment.
  • Experience managing or implementing internal tooling or administrative systems.
  • Exposure to event coordination or light-touch culture-building initiatives.
