Job Summary:

The Real Estate Project Coordinator will play a pivotal role in the day-to-day management and optimization of the Mercer Advisors office portfolio and report to the Vice President of Real Estate & Facilities.

 

Essential Job Functions for this role include:

  • Project Management: Assist with the planning and management of office builds, relocations, and moves. Provide on-site assistance during the office build, punch list, and moves.  Periodic travel to the project site is required.  Develop tools and implement best practices to improve the execution and delivery of office-related projects.  Liaise between internal and external vendors to during these events. 
  • Access Control Platform and Office Hoteling Support: Manage the installation of access control in offices.  Provide training to employees on the access control and hoteling platform for continued operation and adherence to security protocols. 
  • Office Space Utilization: Develop and create office floor plans and work with an external vendor to manage data to understand office utilization.  Provide regular reporting on space utilization to inform future office space planning.
  • Signage: Work with external vendors to complete sign change projects.
  • Certificate of Insurance: Respond to requests to update the certificate of insurance documents on file with property owners.  
  • Maintenance & Repair: Respond and resolve escalated office maintenance issues. 
  • Communication: Keep office teams informed on the status and outcomes of ongoing projects. Ensure all project documentation are properly archived for future reference.

 

Knowledge, Skills, and Abilities:

  • 3–5 years of experience in commercial real estate, facilities coordination, or project management. 
  • Proficient in understanding construction documents and submittals. 
  • Proficient in Microsoft Office (Advanced Outlook, Excel, Word, PowerPoint) and project management software like Jira or Monday.com. 
  • Experience or familiarity with access control or hoteling/office booking platforms.
  • Strong organizational and project management skills with the ability to handle multiple tasks and priorities effectively.  Excellent verbal and written communication skills.
  • Proven ability to establish and maintain effective working relationships across all levels of the organization.
  • Self-starter who can work independently with minimal supervision.
  • Flexibility to travel to various office sites to manage office builds, relocations, and escalated maintenance issues.
  • Associate degree or equivalent experience required; Bachelor’s degree preferred.
  • Strong preference for candidates who are based near one of our larger offices (for example, Houston, Atlanta, Denver, New York, Walnut Creek (SF Bay Area) to name a few)

 

Work Schedule:

This professional role requires availability Monday through Friday, 8:00 AM – 5:00 PM.

 

Working Conditions:

Professional office environment, daytime hours, working inside, standing, and sitting, will be assigned to a workstation, no heavy lifting over 20 lbs.
