Job Summary:

The M&A Human Resources Coordinator will be responsible for providing general administration and operational support of the tactical HR tasks for the mergers and acquisitions area of the human resources team. The successful candidate will play an integral role in maintaining and integration of confidential employee records, processing time-sensitive documents, and assisting with the smooth onboarding process of acquired employees through the transition of newly acquired firms.  

Essential Functions for the M&A Human Resources Coordinator will include: 

  • Working closely with M&A HR Program Manager to facilitate onboarding and administrative tasks for partners and employees going through the mergers and acquisitions process.
  • Facilitating and organizing all Onboarding tasks:
    • draft all confidential employment documents with strict attention to detail (Employment Agreement, Exhibits, and Restrictive Covenants) in a timely manner.
    • create profiles for employees in the HR system.
    • manage I-9 upload and completion of E-Verify.
    • create client (manager) access to the HR system for timekeeping responsibilities and work with the M&A HR Program Manager to ensure new managers are included in timekeeping emails and process communications upon joining organization.
    • coordinate background check process.
    • guide new employees through electronic onboarding tasks and being available for questions.
    • upload executed agreements and setting up Box personnel folders for each active employee.
  • Updating and maintaining spreadsheet data accurately and timely, including merger status and employee data.
  • Auditing of compliance Form I9 and eVerify process for all new hires. Subject matter expert on electronic system management, tentative non-confirmation ownership and management to ensure compliance and manage risk. 
  • Insuring a smooth transition new employee orientation and completion of compliance tasks via HRIS and subsequent technology.
  • Managing the organization of new employee personnel files.
  • Building and fostering relationships with internal departments that HR partners closely on with new employees.
  • Providing an exceptional acquisition experience.
  • Regularly provide status updates and information to M&A HR Program Manager.
  • Supporting HR team members on HR tasks and projects as assigned.
  • Willingness to contribute to all HR initiatives for overall enhanced employee experience with a focus of providing a best place to work.
  • Performing other HR tasks as needed.

Education and Experience:

  • High School Diploma required, associate’s degree or higher strongly preferred.
  • 3 years of experience in a similar role
  • Knowledge of HRIS data entry and maintenance or similar systems
  • Experience with Excel
  • Experience in a fast-paced work environment with changing demands that require a calm and professional demeanor with “clients” (employees, partners and vendors)

Work Schedule:  Monday through Friday, 8:00AM – 5:00PM

Working Conditions:  Professional office environment. Working inside. Standing and sitting. Will be assigned to a workstation.
