Facilities Construction Coordinator
The Facilities Construction Coordinator works closely with Property Managers, Contract Manager, Asset, Area Maintenance Leads, Community Managers, and other areas as required.
Responsibilities:
- Oversee capital and rehabilitation construction projects from initiation to completion, including daily operations, inspections, permits, and contractor compliance.
- Prepare scopes of work, solicit and evaluate bids, and support contract drafting for capital improvements and special projects.
- Review and approve project invoices, ensuring proper documentation, lien releases, and accurate tracking in the Capital Tracker (CT).
- Conduct and lead meetings with contractors, subcontractors, architects, and insurance adjusters to coordinate project execution.
- Monitor project schedules, budgets, milestones, and ensure adherence to technical, safety, and design specifications.
- Manage emergency construction responses and insurance-related projects, ensuring timely and compliant resolution.
- Collaborate with internal teams and mentor property and maintenance staff on construction and capital improvement matters.
- Support vendor management by expanding the qualified pool, ensuring performance standards, and promoting WBE/MBE participation.
- Performs other assignments as requested
Qualifications:
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the education, knowledge, skill, and/or ability required.
Skills and Competencies:
- Excellent verbal and written communication, teamwork, and leadership skills.
- Proven ability to lead teams, collaborate effectively, and train others in maintenance standards and procedures.
- Strong organizational abilities with experience managing construction documentation and workflows.
- Ability to anticipate maintenance issues, implement preventative measures, and train others in quality standards.
- Familiarity with construction documents (e.g., RFI, RFP, PCOR, CO Plan Logs) and Cal OSHA regulations.
- Proficient in Microsoft Office, especially Excel and Word.
- Physically able to lift up to 50 lbs, climb ladders/roofs, and work in confined spaces regularly.
- Valid California Driver’s License, current auto insurance, and reliable transportation required.
Education and Experience:
- High school diploma required. Associate degree or bachelor’s degree in a construction related area of expertise is preferred
- Journey level experience in one of the four major trades: carpentry, electrical, plumbing, or HVAC
- Requires 3 years of previous experience managing multi-family capital projects
- Affordable housing experience a plus
Pay Range
$90,000 - $110,000 Annual Salary - Pay based on applicable experience and qualifications
This position will require travel between Santa Clara, Sonoma, Marin, San Francisco, and Solano Counties. As needed, the role may require travel to additional counties.
