Associate Director, Operational Policy
Reporting to the Vice President of Compliance and Operational Policy, the Associate Director, Operational Policy plays a key role in advancing MidPen Property Management’s mission and strategic objectives. The position leads the centralization of Property Management policies, procedures, training, and key initiatives while fostering an inclusive and equitable workplace.
The ideal candidate excels in managing competing priorities, influencing without direct authority, and overseeing a diverse portfolio of projects. They are process-oriented, continuously seek operational improvements, and embrace a servant leadership approach that prioritizes staff and partners in decision-making.
Responsibilities:
Operational Policy
Under the direct supervision of the VP, and in partnership with Stakeholders:
- Manage the creation, review, updating, and archiving of organizational policies and procedures (P&P) to ensure they reflect current business goals.
- Ensure P&Ps remain current, relevant, and aligned with evolving business needs and regulatory landscapes.
- Maintain accurate records of P&P revisions and historical versions for auditing and reference purposes.
- Develop and execute a plan for implementing new or revised P&P throughout the PM organization.
- Monitor the effectiveness of P&P implementation and adjusting as needed.
- Identify potential risks associated with P&P development or implementation, such as affordable compliance breaches.
- Develop mitigation strategies and ensure P&P adherence to relevant legal, regulatory, ethical, and MidPen standards.
Project Oversight
- Provide project management and project leadership for cross-functional operational policy and procedure projects.
- Develop strong communication plans and drive stakeholder engagement.
- Track key performance indicators (KPIs) related to policy adherence, auditing processes for efficiency, and gathering feedback to drive continuous improvement.
- Support project execution including research, analytical support, and materials development.
Policy and Procedure System Management
- Manage software platforms or document repositories (e.g., SharePoint/Lighthouse, or dedicated policy management systems) used to store and distribute policy documentation.
- Serve as the primary vendor relationship manager with dedicated policy management system(s).
- Provide training and support to employees on P&P platforms and systems.
Stakeholder Engagement
- Partner and serve as the liaison with department heads, legal teams, and the people team to ensure policies are practical, accurate, and properly socialized across different business units.
- Promote the integration of organizational values in cross-departmental initiatives.
- Performs other duties as assigned.
QUALIFICATIONS
Education & Experience
- Bachelor’s degree in business administration, organizational development, or a related field.
- 5+ years of experience developing and managing company-wide operational policies and processes.
- Experience leading complex initiatives through influence, collaboration, and change management.
- Strong background in process improvement, strategic planning, risk management, and reporting.
Knowledge, Skills & Abilities
- Proven success managing large-scale, cross-functional projects.
- Experience with document management systems, policy software, and workflow automation tools (e.g., SharePoint).
- Strong technical writing, communication, stakeholder management, and analytical skills.
- Sound judgment, problem-solving ability, and strong prioritization skills.

Physical Requirements
- Primarily desk-based work with frequent computer use and sitting.
- Occasional standing, walking, reaching, phone use, filing, and lifting up to 15 pounds.
- Rare bending, kneeling, squatting, or crawling.

Pay Range
$111,200.00 - $125,100.00 Annual Salary - Pay based on applicable experience and qualifications
