Senior Payroll Specialist

The Senior Payroll Specialist is responsible for managing and executing all payroll functions with a high degree of accuracy and compliance. This role ensures timely and accurate processing of payroll for both W2 employees and 1099 contractors while maintaining up-to-date knowledge of payroll regulations and tax laws. The Senior Payroll Specialist serves as the point of contact for complex payroll issues, manages payroll audits, and works closely with HR and Finance to ensure seamless payroll operations.

Compensation: up to $62,400 annually (based on experience)

Job Location: Nashville, TN - onsite

Shifts: M-F 8am-5pm EST

Duties/Responsibilities:

  • Manage and oversee the end-to-end payroll process for all employees, including salaried, hourly, and contract workers.
  • Ensure accurate calculation of wages, deductions, bonuses and other compensation in accordance with company policies and applicable laws.
  • Review and approve payroll data before final submission.
  • Ensure compliance with federal, state, and local payroll regulations, including tax filings and labor law requirements.
  • Prepare and submit payroll tax reports, W-2s, 1099s, and other necessary tax documentation.
  • Stay up to date on changes to payroll-related legislation and implement necessary changes to processes.
  • Maintain and optimize the payroll system, troubleshooting any issues that arise.
  • Collaborate with IT or payroll software providers to resolve technical issues.
  • Ensure the system is updated with correct employee information, pay rates, and benefit deductions.
  • Provide mentorship and guidance to payroll team members.
  • Assist in training new payroll staff on processes, systems, and compliance requirements.
  • Act as the primary point of contact for escalated payroll issues or inquiries.
  • Conduct regular payroll audits to ensure accuracy and compliance.
  • Reconcile payroll accounts and resolve discrepancies promptly.
  • Collaborate with the finance team on audits and reconciliations related to payroll.
  • Manage payroll integration with employee benefits, including retirement plans, health insurance and leave policies.
  • Ensure accurate timekeeping data is imported into the payroll system for timely and accurate processing.
  • Serve as the liaison with third-party payroll vendors and tax authorities.
  • Lead payroll-related projects such as system upgrades, process improvements, and policy updates.
  • Analyze and report on payroll data to provide insights and recommendations to leadership.
  • Accurately calculate employee wages and salaries, including overtime, bonuses, and deductions.
  • Process multiple payrolls (bi-weekly, monthly) for salaried and hourly employees.
  • Add new employees and ensure proper set-up in the payroll system.
  • Check timesheets for accuracy and follow up on discrepancies.
  • Maintain detailed and accurate payroll records for all employees.
  • Prepare and generate payroll reports as requested by management or auditors.
  • Handle wage garnishments, ensuring accurate deductions and payments.
  • Assist with payroll-related tax audits, providing necessary documentation and information.
  • Answer employee questions about payroll, benefits, and deductions promptly and professionally.
  • Provide employees with necessary payroll information and resolve any payroll-related issues.
  • Responsible for Workers' Compensation (WC) and State Unemployment Insurance (SUI) filings.
  • Ensure tax compliance in all payroll processes and filings.
  • Other duties as assigned.

Required Skills/Abilities:

  • Strong understanding of payroll laws, regulations, and best practices.
  • Ability to excel in a fast-paced, high-pressure environment.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite & PayChex
  • Strong organizational and time management skills
  • Ability to work independently and as part of a team
  • Excellent communication and interpersonal skills
  • High integrity with excellent problem-solving abilities.
  • Experience in multi-state payroll processing.
  • Healthcare Experience
  • Familiarity with the corporate practice of medicine (a plus but required)

Education and Experience:

  • Bachelor’s degree in accounting, Finance, HR, a related field, or equivalent education and experience.
  • 5 + years of experience in payroll processing, preferably in a multi-state environment.
  • Strong knowledge of payroll software
  • Certified Payroll Professional (CPP) designation (a plus but not required).
