Payroll Specialist

The Payroll Specialist is responsible for overseeing the organization’s payroll function by ensuring pay is processed on time, and accurately. Compliance with federal, state, and local payroll, wage and hour laws, and best practices is imperative. Payroll prepares and maintains state and local tax accounts. Also, assist in overseeing the day-to-day operations of the office to ensure efficiency by being flexible and able to handle a variety of tasks and responsibilities as needed. 

Compensation: up to $58,240 annually (based on experience)

Job Location: Nashville, TN - onsite

Shifts: M-F 8am-5pm EST

Duties/Responsibilities:

  • Accurately calculate employee wages and salaries, including overtime, bonuses, and deductions.
  • Process multiple payrolls (bi-weekly, monthly) for salaried and hourly employees.
  • Add new employees to payroll and ensure proper setup in the payroll system.
  • Check timesheets for accuracy and follow up on discrepancies.
  • Prepare and distribute paychecks or direct deposit statements.
  • Maintain detailed and accurate payroll records for all employees.
  • Prepare and generate payroll reports as requested by management or auditors.
  • Maintain employee records, including changes in employment status, salary adjustments, and terminations.
  • Calculate and process payroll taxes, ensuring timely and accurate payments.
  • Maintain Time and Attendance (TAA) records and ensure accuracy.
  • Ensure compliance with federal, state, and local payroll regulations and company policies.
  • Handle wage garnishments, ensuring accurate deductions and payments.
  • Assist with payroll-related tax audits, providing necessary documentation and information.
  • Conduct regular payroll data reconciliations to ensure accuracy and resolve discrepancies.
  • Answer employee questions about payroll, benefits, and deductions promptly and professionally.
  • Provide employees with necessary payroll information and resolve any payroll-related issues.
  • Responsible for Workers' Compensation (WC) and State Unemployment Insurance (SUI) filings.
  • Ensure tax compliance in all payroll processes and filings.
  • Other duties as assigned.

  Required Skills/Abilities:

  • Strong understanding of payroll laws, regulations, and best practices.
  • Ability to excel in a fast-paced, high-pressure environment.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • High integrity with excellent problem-solving abilities.
  • Experience in multi-state payroll processing.
  • Healthcare Experience
  • Familiarity with the corporate practice of medicine (a plus but required)

  Education and Experience:

  •  Bachelor’s degree in accounting or business administration, or equivalent education and experience.
  • 1 to 3 years’ experience processing payroll.
  • Knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Ideal candidate has experience using PayChex 

 

Physical Requirements:

  • Ability to alternate between sitting and standing for extended periods of time.
  • Ability to lift, hold, push, and pull 15 pounds.
  • Ability to operate a computer and/or laptop through proficient typing, clicking, and viewing 
  •  monitor for extended periods.
  • Ability to view computer monitors with close vision, color vision, depth perception and ability to
  • adjust your focus with good hand-eye coordination.
  • Must be able to effectively communicate with patients/team members/customers, and clearly express oneself while exchanging information.
  • Ability to read, write, comprehend through listening.
  • Ability to perform the essential job functions consistently, safely, and successfully with the ADA,
  • FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards
