
Office Services Administrator

Position
MIO is seeking an Office Services Administrator to join our Administration and Facilities team. This individual will be responsible for covering our reception area, stocking the pantry, greeting guests, and liaising with external vendors. The successful candidate will be comfortable in both providing and managing support to all our office’s activities. This is a full-time, temporary opportunity to provide on-site support five days/week during the hours of 8:00 AM to 5:00 PM.
Primary responsibilities
- First point of contact for visitors and employees that creates a professional, approachable atmosphere in the office.
- Builds positive relationships across teams / vendors, demonstrating strong interpersonal and communication skills.
- Demonstrates a proactive and personable approach to managing office operations, anticipating the needs of the team.
- Responds to inquiries and assists colleagues with a friendly and solution-oriented mindset.
- Assist in maintenance of physical space, including maintaining and deploying office technology/equipment (e.g., laptop computers, headsets), managing employee office set-up and relocation, coordinating office repairs, and working with external contractors and vendors as appropriate
- Manage calendar of firm conference rooms; reserve rooms and schedule meetings as requested
- Maintain supply inventory (e.g., office supplies, printer toner, business cards, IT parts), including processing purchase orders when necessary
- Order, maintain, and stock office pantry (e.g., refill coffee machines; kitchen/food/beverage supplies; load/unload dishwasher; clean kitchen appliances; etc.)
- Coordinate catering for on-site company events and meetings, including assisting clients and visitors and maintaining kitchen/food/beverage supplies as needed
- Ensure security and confidentiality within office, including liaising with building security and coordinating disposal of confidential documents with discretion
- Monitor all other communal areas to ensure upkeep (e.g., lobby, hallways, restrooms, etc.)
Desired background
- 2-5 years of experience as Office Support in a corporate environment
- Undergraduate degree
- Ability to operate with the utmost professionalism and integrity
- High customer service-orientation, someone who listens and takes feedback with ease
- Ability to multitask; manage priorities, juggle multiple projects and requests as they arise
- Microsoft Office applications: Outlook, Word, Excel, PowerPoint

Actual salaries may vary and may be above or below the range based on various factors, including, but not limited to an individual’s assigned office location, experience, and expertise. Certain roles are also eligible for bonuses, subject to MIO’s discretion and based on factors such as individual and/or organizational performance. Hourly Salary Range
$32 - $32 USD
