Mirakl is looking for a highly experienced and adaptable Executive Assistant to provide top-level support to 2 executives. 
This is a strategic and challenging role for someone who thrives in fast-paced, ever-evolving environments, and who demonstrates absolute discretion and professionalism.
You will serve as a trusted partner, collaborating closely with cross-functional teams, and will play a key role in both the daily operations and the strategic growth of the department.

 

What You Will Do 

  • Proactively manage and prioritize complex, ever-changing executive calendars for 2 leaders, including arranging and coordinating high-stakes meetings with both internal and external stakeholders.
  • Ensure seamless scheduling for executives who work with demanding clients, requiring a high sense of service and flexibility.
  • Anticipate, identify, and resolve scheduling conflicts with diplomacy and efficiency.
  • Organize and coordinate internal events, collaborating with multiple departments.
  • Manage expense reports, travel bookings, and invoice tracking, working closely with the finance team to ensure smooth payflow and timely approvals.
  • Support travel arrangements and proactively challenge travel plans for cost-efficiency and compliance.
  • Prepare, review, and proofread a variety of documents with attention to detail and confidentiality.
  • Act as a point of contact for day-to-day requests from two large, dynamic teams and ensure effective communication across functions.
  • Contribute to EA’s team development by sharing best practices, bringing fresh perspectives, and participating in initiatives 
  • Understand each department’s challenges and goals, taking true ownership of your scope rather than simply executing tasks.

 

What We Are Looking For

  • 5+ years’ experience as an Executive Assistant, ideally supporting multiple executives in a fast-growing tech or consulting environment.
  • Proven ability to manage highly complex calendars, prioritize conflicting demands, and remain flexible in rapidly changing environments.
  • Outstanding communication skills in both French and English (written and spoken).
  • Discretion, rigor, and a strong sense of confidentiality
  • Ability to adapt to working styles of very different leaders and large, multifaceted teams.
  • Experience collaborating with finance on expense management and invoice follow-up.
  • Excellent organizational skills, attention to detail, and a proactive approach to problem-solving.
  • Team spirit, and enthusiasm for sharing knowledge and learning from others.

The process

3)Interviews

  • Business interview (45–60 minutes): Meet the hiring manager to discuss your experience, problem‑solving approach, and impact.
  • Values loop (2 conversations):  Engage in conversations with the two VPs you’ll be partnering with, to discuss our core values and ensure a strong cultural and working alignment.

4)Final decision and offer
We consolidate feedback quickly and aim to share decisions without delay. If successful, we’ll walk you through the offer details, benefits, and next steps.
