Position Summary
The Credentialing and Enrollments Coordinator supports the credentialing and payer enrollment functions for the practice’s physicians and advanced practice providers. This position helps ensure timely completion of credentialing applications, maintains provider records, and assists with payer and provider correspondence. The coordinator also provides backup support to the billing team with patient collections and related administrative tasks as needed.
This role is ideal for someone who is detail-oriented, organized, and eager to grow within the areas of credentialing, insurance operations, and revenue cycle management. This role is non-exempt (hourly) and full-time, averaging 30–40 hours per week, Monday through Friday. The position is remote, with a preference for candidates residing in California, Arizona, Colorado, New Mexico, or South Carolina. Occasional overtime may be required to meet credentialing deadlines or business needs.
Key Responsibilities
Credentialing & Enrollments Support
- Prepare and submit credentialing and enrollment packets under the guidance of the Credentialing and Contracting Specialist.
- Maintain accurate and current provider files, including CAQH, NPI, licenses, malpractice certificates, and other documents. Keep all records and contracts updated on Credential Stream, the practice’s online repository of provider and practice credentialing and contracting records.
- Track expirations and follow up with providers and payers to ensure timely renewals.
- Monitor payer portals and respond to routine requests for information.
- Communicate status updates and escalate delays or issues as appropriate with appropriate leadership personnel, billing managers, clinic manager, credentialing specialist and providers as needed.
- Assist with onboarding new providers and coordinating their enrollment timelines.
Billing and Collections Support
- Provide assistance to the billing team during staff absences or high-volume periods.
- Follow up on claim denials related to credentialing or enrollment issues.
- Contact patients regarding outstanding balances and document communication in the billing system.
- Support posting payments, verifying insurance, or other routine billing office tasks as directed.
Performance Expectations
- Maintains complete and organized provider credentialing records.
- Demonstrates timeliness and accuracy in application submissions.
- Provides reliable and professional support to the billing and credentialing team.
- Adheres to HIPAA and confidentiality requirements at all times.
Qualifications & Requirements
Education: High school diploma or equivalent required; associate’s degree preferred.
Experience:
- At least 1–2 years of experience in medical office administration, credentialing, or insurance billing.
- Familiarity with CAQH, PECOS, NPPES, and payer enrollment processes preferred.
- Experience with credentialing, payer enrollment, and hospital privileging, comfort with using online portals.
- Experience with setting up and maintaining CAQH profiles, payer portals and Credential Stream.
- Experience with onboarding a new provider.
- Prior experience with allergy, asthma, or specialty practices is a plus.
Skills & Abilities:
- Strong attention to detail and organizational skills.
- Clear written and verbal communication.
- Ability to work both independently and collaboratively.
- Proficiency in Microsoft Office and comfort using EHR, practice management systems, and online portals/ databases.
Compensation
The hourly range will be discussed during the interview process. The actual compensation for this role will be determined by a variety of factors, including but not limited to the candidate’s skills, education, and experience.
Physical Requirements
Ability to stand, walk, and move throughout the clinic, if applicable, for extended periods; occasionally lift objects up to 25 lbs., bend, stoop, or reach as needed. Frequent use of hands and fingers for patient care and equipment operation. Must have normal (or corrected) vision and hearing and be able to respond quickly in a fast-paced clinical environment, if applicable.
