Job Overview:
We are looking for a Administrative Assistant in Boston, MA to support the employees advisors and their clients, while also performing general administrative tasks as needed.
Responsibilities:
- Oversee conference room calendars.
- Screen & direct all inbound phone calls and take messages as needed; greet and accommodate guests.
- Provide real-time scheduling support by booking appointments and preventing calendar conflicts; oversee the calendar for the wealth management team.
- Scan, file, and document organization of all incoming documents including daily mail.
- Follow processes & procedures related to client data gathering and document creation, assisting the client service team.
- Manage all tasks pertaining to the office environment including tracking/ordering supplies, organizing company documents and maintaining office appearance.
- Administer and prepare all out-bound mailings.
- Complete and track completion of client related tasks in an accurate and timely manner ensuring properly updating system software with client and other relation information.
- Initiate workflow processes and ensure that checklists are generated and completed for meetings with prospects, clients and other professionals.
- Maintain polite and professional communication via phone, email, and mail.
- Assist with planning and coordination of client events.
- Multi-task, organize and complete all other projects as assigned by management, prioritize projects, client needs and office procedures.
- Consistently maintain a high standard of customer service.
- Preserve client confidentiality.

Qualifications:
- High school diploma or GED required.
- Able to work onsite 5 days a week.
- Administrative or client service experience for a professional services organization preferred.
- Proficiency with Word, Excel, and Outlook.
- Excellent written and verbal communication skills.
- Highly professional team player, able to work well with all levels of the firm, as well as with clients.
- Must be organized, meticulous, dependable, adaptable, detailed and service-oriented and able to multitask.
- Personable, warm, engaging; Client first attitude; Supports a team environment.
- Strong sense of professionalism and discretion required.

- Salary range for this role is $55,000 - $88,000, non-exempt
- Pay ranges are job specific and are provided as a point of market reference for compensation decisions. Other factors which directly impact pay for individual associates include: experience, skills, knowledge, contribution, job location, and most importantly, performance in the job role.
