A day in the life:  

As the Office Manager, you’re the operational powerhouse that keeps the entire team running at full throttle. You deliver high‑impact administrative support with precision, speed, and unwavering reliability. From tackling a wide range of office responsibilities to setting the tone for professionalism, you represent the organization with an energy that elevates every interaction and fuels a positive, high‑performance environment.

The impact you’ll make:     

  • Oversee the day-to-day operations of the office, including coordination with suppliers, maintenance services, utilities, security, facility needs, and overall workspace organization.
  • Manage all incoming, outgoing mail and package shipments (internal and external), and order, stock, track, and maintain office supplies, equipment, and furniture needs.
  • Screen incoming telephone calls, take and deliver accurate messages, and respond to internal and external requests by providing information or referring inquiries to the appropriate staff.
  • Assist with general administrative duties such as arranging travel, accommodations, logistics, and catering for internal meetings in a cost-efficient manner.
  • Maintain daily calendars for effective time management and schedule a high volume of meetings with executives and vendors globally across multiple time zones.
  • Coordinate management committee meetings, including scheduling, logistical planning, preparing and circulating documents, capturing action items, and following up on deliverables. Support internal logistics to ensure teams have the necessary tools and resources.
  • Prepare and manage expense reports in travel and expense software, process invoices and check requests, organize payments, and track related financial documentation.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports special projects and other documents in support of departmental operations and objectives.
  • Manage the Work Safety and Health Management System (SG-SST) and participate in the Safety and Health Committee (COPASST); ensure facility and operational compliance with local regulations; act as liaison with government entities such as INVIMA for POS materials and display approvals; oversee warehouse operations and manage promotional, brand merchandising, and other company assets.
  • Assist with human resources activities such as supporting recruitment efforts, coordinating onboarding for new staff, and helping ensure employees have required tools, resources, and workspace readiness.   

Who you are:     

  • Prefer a Bachelor's Degree in the field of Business Administration, Communication, or other related field of study
  • Additional Experience Desired: Between 3-5 years of experience in an administrative position, office management role
  • Additional Experience Desired: Between 3-5 years of experience in project management, coordinating resources, optimizing office workflows
  • Computer Skills Desired: Microsoft Office, Concur, and SAP
