About the Role 

The Payroll Specialist supports our Payroll Manager in staying on top of payroll for every client account Moss manages. You'll help prep and process payrolls, run off-cycle payrolls when clients need them, and make sure nothing slips through the cracks across a full portfolio of accounts. 

Reporting directly to the Payroll Manager, you'll bring order and accuracy to a fast-moving, multi-client environment — flagging issues before they become problems and keeping every payroll on track. 

This role calls for someone comfortable moving fast, juggling competing deadlines, and making sound decisions with limited direction. You'll need to be equally strong with numbers and with people — confident in Excel, clear in your communication, and proactive about catching things before they become a client's problem.

What You'll Do 

Payroll Processing 

  • Stay on top of every assigned client's payroll cycle, tracking deadlines, calendars, and cutoffs across accounts. 
  • Prep and process client payrolls — reviewing timesheets, earnings, deductions, and tax data for accuracy. 
  • Assist the Payroll Manager and broader payroll team in preparing payroll runs for additional client accounts as needed. 
  • Prepare and process off-cycle payrolls — corrections, bonus runs, termination pay, and other special runs — accurately and on time. 
  • Catch and resolve discrepancies before payrolls are finalized, escalating anything unclear to the Payroll Manager. 
  • Maintain clean, organized, and audit-ready payroll records for every client. 

Benefits & Deductions 

  • Apply working knowledge of employee benefits — health, retirement, and other common deductions — to make sure payroll deductions are set up and reconciled correctly. 
  • Coordinate with clients and internal teams to resolve benefit-related payroll discrepancies. 

Systems & Integrations 

  • Support and troubleshoot data flowing between payroll, HRIS, and benefits systems. 
  • Assist with HRIS implementation projects — data migration, configuration, and testing — when new clients or systems come online. 
  • Manage and monitor EDI feeds and system integrations (e.g., 360 integrations) between payroll, HRIS, and benefit carriers to keep data accurate and in sync. 

Client & Team Communication 

  • Communicate proactively with clients about payroll deadlines, missing information, and outstanding items. 
  • Serve as a responsive, professional point of contact for client payroll questions. 
  • Keep the Payroll Manager informed on payroll status, risks, and outstanding items across your accounts. 
  • Escalate complex or ambiguous issues appropriately rather than guessing. 

Process Improvement 

  • Spot recurring issues, inefficiencies, or risk areas across client payrolls and recommend improvements. 
  • Help maintain SOPs, checklists, and reference materials for payroll processes. 

What You'll Bring 

We're looking for someone with: 

  • Bachelor's degree in Business, Human Resources, Mathematics, or a related field. 
  • 2–5 years of payroll experience. 
  • Strong proficiency in Excel. 
  • Excellent written and verbal communication skills. 
  • A proactive mindset and the ability to act with little direction in a fast-paced, multi-client environment. 
  • Strong attention to detail and accuracy, especially under deadline pressure. 
  • Working knowledge of employee benefits and how they interact with payroll. 
  • Ability to manage multiple client accounts and competing deadlines at once. 
  • Comfort working independently within a hybrid team environment. 

Nice to Have 

It's a bonus if you also have: 

  • Experience implementing HRIS systems. 
  • Experience managing EDI feeds and system integrations (e.g., 360 integrations) between payroll, HRIS, and benefit carriers. 
  • Experience supporting multiple client accounts or working in a multi-client/PEO environment.
