Position Overview
The Chief of Staff serves as the primary operational partner to the CEO. This role is accountable for translating the CEO's vision into structured execution across all business units. The organization operates at the intersection of regulated financial services and high-growth technology — requiring the Chief of Staff to maintain both operational rigor and acute awareness of compliance boundaries. The Chief of Staff is not a support role. It is a high-accountability operator role. The right person runs toward complexity, owns outcomes end-to-end, and holds the organization accountable.
Core Responsibilities
1. CEO Office Operations
- Manage the CEO's time, priorities, and focus — ensuring his calendar, communications, and attention are directed toward the highest-leverage decisions across all business units.
- Prepare the CEO for all meetings, calls, and engagements — including leadership team syncs, platform partner negotiations, regulatory discussions, and investor or affiliate conversations — with clear briefing materials and defined objectives.
- Act as a trusted proxy for the CEO in internal meetings, capturing decisions and driving follow-through across the leadership team
- Filter, triage, and respond to inbound communications on behalf of the CEO where appropriate.
2. Cross-Functional Execution & Accountability
- Own the CEO's cross-functional project portfolio — with active awareness of workstreams spanning product launches, platform migrations, regulatory initiatives, and affiliate and marketing programs.
- Ensure that decisions made by the CEO are clearly communicated, assigned, and executed across the leadership team — and that nothing falls through the cracks between business units.
- Maintain a live view of all open priorities, active projects, and pending decisions across the organization.
- Identify workstreams at risk of stalling and intervene proactively.
3. Strategic Planning & Communications
- Support the development and communication of company strategy, operating priorities, and initiatives across the organization.
- Draft, refine, and manage executive communications including all-hands content (e.g., Townhalls), leadership updates, internal announcements, and affiliate-facing communications.
- Support preparation of the CEO's external communications, partner-facing materials, and strategic documents as needed.
4. Leadership Team Coordination
- Facilitate the CEO's leadership team rhythm — weekly syncs, operating reviews, and ad hoc escalations.
- Ensure the leadership team has clear direction from the CEO and that the CEO has what he needs from them — on time, with sufficient context.
- Surface organizational issues, execution gaps, and interpersonal dynamics to the CEO before they escalate.
Qualifications
- Demonstrated experience operating at a high level in a fast-moving, multi-entity environment — financial services, fintech, or a similarly complex operating structure preferred.
- Exceptionally strong written and verbal communication skills — the ability to write clearly and quickly on behalf of a CEO is non-negotiable.
- Working knowledge of or ability to quickly develop fluency in NFA/CFTC-regulated brokerage operations and the structural considerations of operating regulated and unregulated businesses within the same holding company.
- High proficiency with Asana, Slack, and executive workflow management.
- Strong judgment, discretion, and the ability to make sound decisions with incomplete information.
- Comfort with ambiguity, urgency, and shifting priorities — without losing track of commitments.
