About The Role:
As an Administrative Assistant / Customer Service Representative, you will serve as a key point of contact for internal teams and customers, providing seamless administrative support and ensuring smooth communication across departments. You will coordinate schedules, manage customer inquiries, and track project timelines, all while maintaining excellent service and operational efficiency.

Your role will focus on facilitating communication, providing timely updates, and resolving issues, ensuring customers and internal teams have smooth and efficient experience.

Other Responsibilities Include:

  • Serve as a primary point of contact for administrative tasks and customer service inquiries.
  • Manage and prioritize daily communication, coordinating with internal teams such as Order Management, Account Management, Project Management, and Marketing.
  • Assist in scheduling deliveries, meetings, and events, ensuring timely coordination with various departments.
  • Serve as the key escalation point for all logistics and configuration related questions from internal parties.
  • Provide accurate and timely updates to customers and internal teams regarding order status, shipments, and project timelines.
  • Work as a key resource with Inventory Control Manager to coordinate scheduling of physical audits and cycle counting.
  • Handle customer service inquiries, resolve issues, and provide proactive solutions to improve customer satisfaction.
  • Maintain internal communication logs and ensure timely follow-up on tasks and requests.
  • Prepare reports on customer service metrics, project statuses, and team activities.
  • Assist with maintaining activity in designated communication platforms like email groups and Slack channels.
  • Contribute to documentation, process improvement initiatives, and best practices.
  • Complete ongoing security awareness training and comply with company policies. 
  • Other duties as assigned.

Desired Skills and Experiences:

  • Strong communication skills, with a customer service or administrative background.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • Excellent organizational skills and attention to detail.
  • Ability to adapt in a fast-paced environment and work through conflicting priorities.
  • Excellent scheduling (Delivery) experience. 
  • Excellent Computer skills.
  • Proficient in MS Office products, including Outlook, Excel, Word, and Visio (7+ years of experience).
  • Bilingual in English and Spanish is a plus.
  • Experience in project coordination or office management is beneficial.
  • Knowledge of Integration Center operations, configuration, and shipping procedures is a huge plus.
  • Background in Supply Chain Management or similar fields is a plus.

Details:

  • Location: West Deptford, NJ
  • Schedule: Monday to Friday, 8:30 am to 5:00 pm (Morning shift)
  • Contract Type: 3-month contract, with the potential for full-time conversion based on performance.
  • Compensation: $23/hr. on a 1099 contract with potential overtime (overtime rate is 1.5x the hourly rate).
  • If converted full-time, compensation will be negotiable.
  • Interview Process: Video interview followed by a face-to-face interview in West Deptford, NJ.
