About the Role

The Admin Associate is a dynamic, hands-on role responsible for supporting day-to-day office and warehouse operations with a focus on efficiency, time management, and operational excellence. This individual will act as the central hub for administrative support, facility upkeep, and logistics coordination, ensuring smooth execution of both front-office and back-of-house functions.

In this hybrid role, you will interact cross-functionally with stakeholders across Operations, Facilities, Human Resources, and Security while also supporting the fulfillment team on core warehousing tasks such as order processing, inventory counts, and product intake. You thrive in fast-paced environments, have a high attention to detail, and enjoy taking ownership of organizational processes.

 

Responsibilities

  • Manage daily office operations, including greeting visitors, maintaining guest schedules, and coordinating with the security team.
  • Oversee office supplies ordering, inventory tracking, and asset management.
  • Partner with facilities for maintenance and repair needs; ensure cleanliness and organization of office areas.
  • Receive, sort, and distribute incoming deliveries and mail, keeping the team informed of critical shipments.
  • Assist in product intake, unloading/loading deliveries, and order fulfillment (picking, packing, labeling).
  • Perform inventory cycle counts, ensure accuracy in order preparation, and support warehouse organization.
  • Print, label, and process required shipment documentation, including Biotrack and dispatch paperwork.
  • Attend and participate in Safety Committee meetings and follow up on location-specific safety action items.

 

Qualifications

  • High School diploma or equivalent required; Associate's degree preferred.
  • Minimum of 2 years of combined experience in office administration, customer service, or warehouse operations.
  • Ability to lift up to 50 lbs., work on ladders, and handle physical warehouse tasks.
  • Proficient verbal and written communication skills; comfortable taking meeting notes and writing professional correspondence.
  • Strong organizational skills with the ability to multitask across office admin and warehouse duties.
  • Comfortable with Microsoft Office Suite and general tech systems (printers, spreadsheets, order management systems).
  • Must be at least 21 years old and able to pass a pre-employment background check.
  • Previous experience in a warehouse or logistics environment preferred.
  • Knowledge of Biotrack compliance or cannabis operations a plus.
  • Proactive problem-solver with a positive, can-do attitude and a high degree of accountability.
  • Comfortable working in a team environment, with the flexibility to support where needed.
  • Clean driving record and ability to occasionally work outside standard business hours if required.
