The Role
The Fleet & Facilities Associate is the primary on-site point of contact for Nabis’ Fleet & Facilities and Safety programs at our LA spoke location. This person manages proactive and reactive responsibilities to ensure our fleet, facility, employees, and equipment remain operational, safe, and compliant.
This role requires excellent time management, an ownership mentality, and the ability to communicate across teams - including daily coordination with local Operations and cross-functional input from the Infrastructure team.
Responsibilities:
Fleet Operations
- Lead daily fleet readiness, including in-house repairs and external service coordination.
- Perform minor vehicle maintenance (e.g., wiper swaps, fluid refills, bulb replacements, fuses, tire replacements, etc.).
- Complete pre- and post-trip inspections and log them in Whip Around.
- Track vehicle registration, inspection, and repair schedules.
- Ensure vehicles are clean, compliant, and properly stocked.
- Transport vehicles to and from service providers and provide status updates.
Facilities Maintenance
- Conduct daily walkthroughs and manage vendor coordination for repairs.
- Oversee organization and cleanliness of shared equipment, staging areas, and outdoor perimeters.
- Refill DEF/wiper fluid containers and handle ad-hoc fixes (e.g., lock replacements).
- Perform routine audits and inspections (fire extinguishers, HVAC filters, forklifts, etc.).
- Coordinate preventative maintenance for gates, dock doors, and roll-up doors.
- Maintain the SDS binder and safety-related materials.
Program & Cross-functional Coordination
- Execute F&F and Safety program checklists and compliance tasks.
- Submit work orders, invoices, and track repairs in internal systems.
- Manage supply orders for F&F, drivers, and cleaning staff.
- Coordinate vendor onboarding, service calls, and emergency repairs.
- Support project-based infrastructure initiatives at the site level.
- Create internal driver and facility updates; collaborate cross-functionally and assist other departments as needed.
Qualifications:
- Associate’s degree or equivalent work experience
- 2+ years of experience in facilities, fleet maintenance, logistics, or warehouse support
- Proficiency in basic vehicle upkeep, facility maintenance, and safety protocols
- Strong organizational, communication, and customer service skills
- Ability to manage time effectively and prioritize tasks with a proactive, detail-oriented mindset
- Intermediate proficiency with Google Sheets (or Excel) and willingness to learn new tools (e.g., Whip Around)
- Comfortable working independently and cross-functionally with operations and vendor partners
- Forklift or equipment certification (or willingness to obtain); OSHA 30 preferred
- Must be 21+, able to lift 50 lbs., and flexible to work early/late hours when needed
