Key Responsibilities

Operations & Compliance

  • Maintain accurate program records, documentation, and audit-ready files in accordance with company SOPs and regulatory requirements.
  • Proactively identify gaps or risks in program workflows and escalate issues to the Associate Director in a timely manner.
  • Serve as the go-to operational resource for all speaker program activity, providing real-time status visibility to internal stakeholders.
  • Act as the primary liaison between Area Marketing Managers (AMMs) and the Compliance team, managing escalation communications on program-related issues.
  • Track open compliance issues and escalations through to resolution, maintaining complete documentation of all communications and outcomes.
  • Support audit readiness by ensuring all speaker program files are complete, accurate, and organized per compliance and Legal requirements.

Stakeholder Management

  • Act as the primary point of contact for field representatives (AMMs and sales teams) and physician speakers on questions related to program requirements, timelines, status, and compliance obligations.
  • Respond to inquiries promptly and accurately, applying a thorough understanding of program policies, SOPs, and applicable healthcare regulations.
  • Contribute to onboarding and training materials to help new field personnel and speakers understand program requirements and workflows.

Honorarium & Expense Management

  • Manage honorarium and expense reimbursement lifecycle: collect, review, and submit required documentation for payment processing.
  • Submit approved payment requests to Accounts Payable in accordance with established deadlines and contracted payment timelines.
  • Track payment status for each speaker engagement and proactively escalate any delays or discrepancies to Finance and the Associate Director.

Speaker Nomination & Contracting Process

  • Oversee speaker nomination and contracting process, coordinating across commercial and medical stakeholders to move nominees through vetting, onboarding, and credentialing steps efficiently.
  • Manage contracting workflows in partnership with Legal and Compliance, ensuring fair market value (FMV) compliance, proper documentation, and timely execution of all speaker agreements.
  • Serve as the operational coordinator for speaker onboarding and annual recertification processes, ensuring all requirements are met on time.

Reporting & Operational Support

  • Maintain and update program tracking tools, dashboards, and databases to support accurate and timely reporting on speaker utilization, payment status, and program activity.

Qualifications

Required

  • Bachelor's degree required.

  • Knowledge around healthcare compliance requirements, including HCP contracting, fair market value (FMV), and industry codes of conduct (PhRMA, AdvaMed).
  • Experience supporting high-volume administrative workflows with strong attention to detail and the ability to juggle multiple priorities simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with physician speakers, field sales representatives, and cross-functional partners.
  • Strong organizational and project management skills with a track record of meeting deadlines in a fast-paced environment.

Preferred

  • Familiarity with honorarium and expense reimbursement workflows and Accounts Payable coordination.
  • Hands-on experience with Salesforce.com (SFDC) or similar CRM platforms for program tracking and reporting.
