Coordinator, Programs
WHAT IS THE ROLE
You are a key member of the Programs team, responsible for managing a variety of meetings and events and supporting the operations and programming of the National Charter Schools conference. Reporting to the Senior Director of Programs, you will manage high-visibility events that reach over 4,000 attendees in person annually.
You work closely with the Chief of Engagement and Partnerships and other leaders to ensure alignment between implementation and strategy.
Operating in a fast-paced advocacy and event design and implementation environment, this role requires adaptability, responsiveness, and a disciplined approach to moving multiple tasks along with precision, excellent communication internally and externally, and the ability to forecast challenges. The ideal candidate must be comfortable prioritizing multiple tasks in our fast-paced environment, has experience working on a team, solving problems independently, meeting deadlines, and has incredible attention to detail. We are looking for a teammate that is self-motivated, high-energy, and energized by engaging with other people.
You will play a central role in ensuring systems are meticulously followed and plans carried out for a flawless National Charter Schools Conference and other stakeholder focused experiences.
WHAT YOU'LL DO
Administrative Operations
- Process invoices and contracts related to the annual conference, meetings, and other programs.
- Manage Tallie expense reports and reconcile corporate credit card transactions.
- Track contract approvals and vendor payments to ensure timely processing.
- Process and track conference sponsorship agreements.
- Assist with budget tracking and maintain expense tracking spreadsheets.
- Calendar External calls for stakeholders in a timely matter
- Ensure documents are saved on SharePoint for posterity
- Build and deploy surveys
- Build and finalize PPT decks for external calls and executive use
- Compile post event reports: metrics, survey results, etc.
- Update stakeholder contact information as needed
- Update specific contact lists on an ongoing basis in CRM
- Support in contact information requests for mailings (as needed)
- Create event registration pages and monitor RSVPs
Conference Operations & Support
- Create, maintain, and segment attendee, presenter, sponsor, exhibitor, and stakeholder lists to support conference communications and operations.
- Generate conference reports and data exports from registration and event management systems.
- Assist with meeting logistics, including registration materials, room setup, attendee tracking, and vendor coordination.
- Assist with the management of the National Charter Schools Conference general inquiry mailbox by responding to routine inquiries and routing requests to the appropriate staff members, vendors, or partners.
- Provide onsite operational support during conferences, meetings, and department events.
- Assist with post-event reconciliation, documentation, reporting, and project closeout activities.
Other Organizational Meetings and Events
- Plan and coordinate logistics for organizational meetings and events outside of the annual conference.
- Research and recommend hotels, restaurants, meeting venues, and event spaces based on program needs and budget.
- Obtain proposals, compare pricing, and prepare recommendations for meeting locations and vendors.
- Coordinate contracts, food and beverage, audiovisual, attendee communications and registration, and meeting materials for assigned events.
- Provide onsite management for meetings and events, including registration, vendor coordination, speaker support, room setup, and attendee assistance.
Virtual Learning
- Support delivery of webinars, virtual meetings, and other online learning programs.
- Coordinate registration, attendee communications, speaker scheduling, presentation materials, and virtual event logistics.
- Support presenters before and during virtual events by coordinating technical checks, presentation materials, and event logistics.
- Coordinate post-event communications and distribute presentation materials, recordings, and attendee resources.
WHO YOU ARE
Experience
- You bring 2+ years of operations experience
- You are able to travel to support in person programming
- You have exceptional written, oral, and interpersonal communication skills
- You are extremely detail oriented, can multi-task and work well under pressure
- You bring familiarity with charter schools, K–12 education, education reform, and/or policy or advocacy organizations
Skills and Approach
- You are confident and comfortable working with a variety of software, including Canva, Microsoft Office, Adobe, Google products, SharePoint
- You are a skillful organizer of tasks, resources, and people, supporting execution of vision through attention to detail
- You thrive when working independently – taking direction well from others, solving problems with limited supervision, prioritizing tasks, and meeting deadlines.
- You are able to manage multiple priorities in a fast-paced, remote environment
- You are highly organized with disciplined database and file management
- You bring strong interpersonal and collaborative skills across teams
This position requires approximately 10–20% travel for donor meetings and events.

The anticipated starting salary range for this role is $45,000- $55,000 commensurate with experience and qualifications.
