Special Projects Coordinator
WHAT IS THE ROLE
You are the connective tissue of the External Engagement team and direct support to its Chief. Reporting to the Chief of External Engagement, you keep deadlines, calendars, and details on track across a fast-moving team, while handling correspondence and meeting preparation for the Chief directly.
You work closely with every member of the External Engagement leadership team, tracking commitments and deadlines across their workstreams, and with the Chief directly on day-to-day executive support.
Operating with real access to sensitive legal and political information, this role requires sound judgment, discretion, and a genuine enjoyment of the kind of detailed, high-variety work that keeps a growing team running smoothly.
WHAT YOU'LL DO
Support Team Operations
- Maintain a shared calendar and tracker across the team's workstreams, flagging deadlines and dependencies
- Maintain the team's partner and coalition databases so contact and engagement records stay current and usable
- Prepare materials and track follow-up for recurring team meetings
Provide Executive Support to the Chief
- Draft and proofread correspondence and prepare materials ahead of key meetings
Take on Special Projects
- Support discrete projects as assigned, such as research, briefing memos, and process documentation
WHO YOU ARE
Experience
- You bring 2–4 years of experience in an administrative, coordinator, or executive support role
- You have experience with CRM or database tools
Skills and Approach
- You are highly organized and comfortable holding many small details at once
- You exercise sound judgment and discretion with sensitive and confidential information
- You are a clear, professional written communicator
- You are proactive about flagging deadlines and following up, rather than waiting to be asked
This position requires occasional travel to support team events.

The anticipated starting salary range for this role is $50,000–$60,000, commensurate with experience and qualifications.
