WHAT IS THE ROLE 

You are the marketing and logistics engine behind the External Engagement team's national footprint, and a key partner to the Senior Director of Programs in delivering the National Charter Schools Conference (NCSC). Reporting to the Chief of External Engagement, you turn strategy into flawlessly executed events and calls: Partner Fly-Ins, Congress on Campus visits, earmark technical assistance sessions, the State Leader Council's three annual convenings, APCSA convenings, the team's recurring calls, and a significant supporting role on NCSC itself. 

You work closely with the Senior Directors of External Engagement: Legal & Congressional Engagement and External Engagement: Partners, State & School Leaders, translating their program and content strategy into registration, scheduling, materials, promotion, and on-the-ground logistics. You also work closely with the Senior Director of Programs on NCSC, taking on real ownership of conference marketing — in close collaboration with the Communications team — and additional logistics and operational duties that help ensure the conference comes off without a hitch. 

Operating across a demanding, overlapping calendar of political travel, convenings, and the organization's flagship annual conference, this role requires exceptional organization, comfort with logistics under pressure, and a marketer's instinct for driving attendance and engagement. 

WHAT YOU'LL DO 

Run Event and Convening Logistics 

  • Plan and execute logistics for Partner Fly-Ins (NCSW, NSCW), Congress on Campus visits, and earmark TA sessions 
  • Plan and execute logistics for the three annual SLC convenings and APCSA convenings, including venue and vendor coordination, invitations, and materials 

Coordinate Recurring Calls 

  • Schedule and staff the CMO monthly call, SLC monthly calls, and quarterly school and network leader calls 
  • Prepare agendas and briefing materials, and track action items to closure 

Support NCSC Delivery 

  • Serve as the Senior Director of Programs' primary logistics and operations partner for NCSC, with a larger role in ensuring the conference is delivered smoothly 
  • Lead conference marketing and promotion in close collaboration with the Communications team, driving registration and session attendance 
  • Take on additional conference logistics and on-site operational duties as needed — vendor coordination, troubleshooting, and day-of execution — to support a seamless attendee experience 
  • Coordinate with the Programs team on the SLC convening and receptions that take place at NCSC 

Market External Engagement Programming 

  • Promote fly-ins, convenings, webinars, and calls to drive strong registration and attendance 
  • Develop marketing materials and communications that support the team's recurring programming 

WHO YOU ARE 

Experience 

  • You bring 4–7 years of experience in event planning, meeting logistics, or program operations, ideally in a nonprofit, association, or political environment 
  • You have experience marketing or promoting events to a professional audience, ideally including a large-scale conference 
  • You have managed vendor and venue relationships and multi-city or multi-event logistics calendars 
  • You have experience collaborating with a Communications or Marketing team on a shared deliverable 

Skills and Approach 

  • You are exceptionally organized and can run several concurrent events and calls without dropping details 
  • You have a marketer's eye for what drives registration and engagement, not just a planner's eye for logistics 
  • You are calm under pressure when travel, venues, or schedules change at the last minute 
  • You collaborate easily with senior leaders who own strategy while you own execution, and with partner teams like Communications who co-own a deliverable with you 

This position requires regular travel for fly-ins, convenings, and NCSC. 

WHAT WE OFFER

The anticipated starting salary range for this role is $60,000-$85,000, commensurate with experience and qualifications.
