What you will be doing

The Order Management Coordinator will support the administration and execution of customer orders from receipt through fulfillment. This role will serve as a central point of coordination for sales order entry, purchase order review, order changes, delivery tracking, and routine customer order communications. This role will work cross-functionally with Business Development, Program Management, Production, Supply Chain, Finance, and other internal teams to ensure orders are accurately entered, required reviews are completed, changes are properly incorporated, and order status remains visible throughout the fulfillment process.

Responsibilities

  • Own the entry, maintenance, and administration of customer sales orders within NetSuite
  • Review incoming customer purchase orders and supporting documentation for completeness prior to order acceptance and entry
  • Coordinate the internal PO and contract review process across required functional stakeholders
  • Verify incoming contractual requirements against established FAR/DFARS compliance matrices and internal review procedures, escalating exceptions to the appropriate functional owner
  • Process and track customer order changes, contract modifications, delivery-date changes, part-number or revision updates, address changes, and supporting documentation
  • Maintain accurate and current sales order records, customer documentation, and order-related files
  • Monitor open orders, required actions, delivery commitments, and outstanding dependencies through fulfillment
  • Work closely with Production, Supply Chain, Program Management, and other internal teams to maintain accurate order and delivery status
  • Provide routine order status and delivery updates to customers as required
  • Identify order discrepancies, missing information, conflicting requirements, or potential fulfillment issues and drive resolution with the appropriate internal stakeholders
  • Ensure required internal reviews and approvals are completed prior to order acceptance or implementation of material order changes
  • Support coordination between order entry and fulfillment teams when product revisions, inventory allocations, or other order specific requirements necessitate updates
  • Maintain clear visibility of open actions, changes, and customer commitments associated with assigned orders
  • Support continuous improvement of order management processes, workflows, reporting, and internal controls as order volume scales

You should have the following

  • 2+ years of experience in order management, sales operations, customer operations, contract administration, program coordination, inside sales, or a similar coordination/operational role
  • Experience with sales order entry, order maintenance, and order tracking within an ERP, CRM, or order management system
  • Experience reviewing and processing customer purchase orders, order changes, delivery requirements, and supporting order documentation
  • Experience coordinating across multiple functions such as Sales/Business Development, Program Management, Production, Supply Chain, Finance, or Operations to support order execution
  • Experience managing multiple concurrent orders, priorities, deadlines, and open actions in a detail-oriented environment
  • Experience providing customer-facing communication, including order status, delivery updates, or resolution of routine order-related issues
  • Proficiency with Microsoft Excel and standard Microsoft Office applications

Nice to Have

  • Experience with NetSuite or a similar ERP platform
  • Experience within aerospace, defense, manufacturing, hardware, or another complex product environment
  • Familiarity with Government purchase orders, FAR/DFARS requirements, or Government contracting processes
  • Experience working in a fast-paced startup, rapid-growth, or high-volume order environment

US Salary Range

$82,000 – $114,500 USD

The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only. Actual salary may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations. Highly competitive equity grants are considered part of Neros' total compensation package.
