Auxiliary Services and Transportation Coordinator
Position Summary
Newark Academy is seeking a professional to serve in the role of Auxiliary Services and Transportation Coordinator. This position will work collaboratively with constituents from within and outside the organization to develop and coordinate transportation solutions for all school programming. The successful candidate will also be responsible for managing Newark Academy’s auxiliary revenue and expense streams year-round in coordination with the Operations and Business Offices.
Reports to: Chief Strategy Officer
Responsibilities include:
- Oversee daily transportation supervision for Newark Academy students using the school’s transportation
- Identify innovative and cost-effective solutions for transporting Newark Academy students to and from campus in partnership with the Head of School and administrative team
- Manage transportation needs for student-teams and groups in collaboration with Middle School, June Term, and Athletics
- Maximize revenue and manage costs related to ancillary services. These services include, but are not limited to, year-round facilities rentals, school store operations, non-paying facility use (e.g. NJ SEEDS), transportation services, and other strategic partnerships.
- Coordinate with the Director of Business and Finance to develop and pursue annual revenue targets for facilities rentals
- Collaborate with the Director of Athletics, the Director of Summer Programs, and the Director of Operations regarding the availability of facilities for rental
- Partner with the Director of Communications to prepare marketing materials to attract renters/partners
- Prepare contracts & billing for renters per fee schedule and ensure all insurance and other protocols are met
- Prepare and maintain budgets for all Student Store and transportation budget lines and provide Office of Business and Finance with monthly reports on charges to student accounts
- Maintain school-wide inventory of office supplies as needed throughout the year
- Coordinate purchasing of office furniture in conjunction with the Director of Business and Finance and Director of Operations
Requirements:
- Bachelor’s degree
- Preferred 3-5 years of experience in similar positions and/or in an independent school setting
- Experience working with and supporting a diverse community of students, parents, and colleagues
- Knowledge of federal and state transportation requirements
- Proficiency with Mac operating system (Google, Microsoft Office Suite, Adobe Suite, Photoshop, InDesign, etc.) and platforms related facilities management and retail merchandising
- Creativity, resourcefulness, and a high degree of flexibility, as well as problem-solving ability
- Excellent organizational, interpersonal, and planning skills
- Demonstrated ability to work as a member of a strong team
- Strong written and oral communication skills
- Strong customer/client relations orientation
