Substitute Coordinator and Teaching Associate
Position Summary
The Coordinator position is a 10-month commitment, with the primary responsibility of ensuring quality supervision of classes when faculty are absent. In addition to substituting and supporting per-diem subs, this person will assist the Assistant Head of School in completing administrative tasks, including scheduling, managing calendars, coordinating communication, and updating annual documents.
The Coordinator will be expected to be on campus from 7:30 a.m. to 2:30 p.m. daily. In addition to the on-campus hours, the coordinator will work remotely approximately 8 hours a week, arranging substitutes for unplanned absences. Monday through Friday, 5:45-6:30 a.m., and Sunday 8:30-9:15 p.m.
Reports to: Assistant Head of School for Teaching and Learning
Primary Responsibilities:
- Coordinate substitute coverage for both planned and unplanned faculty absences
- Provide daily support to per-diem substitutes, including distributing schedules, lesson plans, attendance sheets, and any other necessary materials
- Manage and maintain the Substitute Daily Schedule, Absence Notification, and Substitute Request form, ensuring confidentiality and sensitivity regarding faculty matters
- Maintain daily/weekly/monthly documentation for all teacher absences, for both internal and external coverage
- Track substitute coverages and prepare documentation required for the compensation of internal and external substitutes
- Support the Assistant Head of School for Teaching and Learning in general administrative and clerical tasks as assigned
- Act as a liaison to support visiting job candidates during the hiring process
- Participate in new substitute teacher interviews and manage their new hire paperwork
- Serve as a classroom substitute to provide coverage as needed
Requirements
- Demonstrated commitment to supporting a diverse community of students, parents, and colleagues
- Experience working with students in a school setting is preferred
- Excellent organizational and planning skills
- Experience in a similar position; experience in an independent school setting preferred
- Outstanding written and oral communication skills
- Proficiency in Google Suite, Microsoft Office, and a variety of programs
- Ability to adapt to new software programs
- Team-oriented
- Ability to manage multiple tasks simultaneously
- Bachelor’s degree required
