Newark Academy is seeking a detail-oriented and dedicated Payroll Coordinator to oversee the processing and management of payroll operations. This position is responsible for ensuring payroll accuracy, compliance with tax regulations, and the smooth processing of employee payments. The Payroll Coordinator will also support the annual audit process and financial reporting, while managing benefits-related tasks and maintaining accurate records. The ideal candidate will have a strong background in payroll processing and an ability to maintain confidentiality and professionalism at all times.
The Payroll Coordinator position is an hourly, part-time position. The hourly rate will be between $35.00 and $50.00 per hour, the final rate will be dependent on education and experience.
Reports to: Director of Human Resources
Primary Responsibilities:
- Enter and process payroll data for the bi-weekly payroll
- Ensure employees’ time sheets are approved by managers and conduct a secondary review for accuracy
- Onboard new employees in the payroll system and ensure timely completion of all requirements, including tax forms, Form I-9, and benefits enrollment
- Complete, track, and maintain NJ Educator Misconduct Forms in compliance with state and institutional policies
- Process stipends and special payroll adjustments
- Calculate salary adjustments for employees on leave or when needed
- Issue manual checks as needed
- Enter and manage employee deductions in the payroll system
- Process benefits in the payroll system, including new enrollments, changes, and terminations
- Review, fund, and monitor retirement contributions for overages and process necessary corrections
- Keep accurate records of employee payroll and benefits information
- Oversee tracking of employee attendance using our systems to monitor arrivals and use of PTO
- Support the annual financial and defined contribution retirement plan audits, ensuring all records and reconciliations are accurate
- Reconcile wages and salaries recorded in the general ledger with quarterly Forms 941 and payroll registers
- Prepare, review and issue W-2 and 1095-C forms to employees, ensuring compliance
Requirements:
- Bachelor’s degree
- Minimum of 2–3 years of payroll experience, preferably in an educational or nonprofit setting
- Experience working with and supporting a diverse community of students, parents, and colleagues
- Proficiency with payroll software, Google Suite, and financial reporting tools
- Strong understanding of payroll laws, tax compliance, and benefits administration
- High level of accuracy in data entry, reconciliation, and reporting
- Ability to effectively communicate payroll-related information to employees and management
- Understanding and practice of confidentiality with school business and employee information
