Admission Visitation Coordinator

Position Summary

The Admission Associate – Visitation Coordinator plays a central role in shaping the experience of prospective students and families, serving as a key ambassador for the school from first visit through enrollment. This highly collaborative position oversees all aspects of the on-campus and event-based visitor experience, thoughtfully coordinating student visits, interviews, tours, and large-scale admission events. With a focus on hospitality, organization, and clear communication, the role ensures each interaction reflects the warmth and excellence of the institution. In addition to supporting admission operations and the Student Ambassador Program, this team member contributes to the evaluation process as part of the Admission Committee.

This is a 10-month full-time position in session between August 15th and June 15th annually.

Reports to: Associate Director of Admission Operations 

Responsibilities:

  • Oversee and elevate all aspects of the Office of Admission visitor experience, ensuring a warm, organized, and mission-aligned approach for every prospective family
  • Curating experiences to support the needs of individual students and families, where possible, including coordinating and scheduling student visits, re-visits, interviews, and tours during the school day, as well as in conjunction with Admission events (e.g., Open Houses, Accepted Student and Family Receptions)
  • Support the planning and execution of admission events, with a particular focus on ensuring a seamless and engaging visitor experience
  • Manage all logistics related to campus visits, including family communications, confirmations, and on-site hosting in Eberstadt
  • Provide general operational support to the Office of Admission, including event preparation, mailings, and office management needs
  • Support the Student Ambassador Program, including scheduling, communication, and ongoing program development
  • Serve as a member of the Admission Committee, including conducting candidate and parent conversations and evaluating applicant files
  • Partner with the Associate Director of Enrollment and Financial Aid to coordinate and execute ISEE testing, with the potential for full ownership of this responsibility over time
  • Collaborate closely with colleagues across the school to support recruitment and enrollment efforts
  • Act as a forward-facing Arts Liaison coordinating communication between candidates and Arts faculty and promoting engagement/excitement around the Arts 

Requirements:

  • Bachelor’s degree required 
  • 1-3 years of experience in an Admissions office at an independent school 
  • Strong organizational skills and comfort in managing multiple tasks and projects simultaneously
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with the ability to forge relationships with a broad range of constituents
  • A collaborative, team-oriented and professional approach

  • Working knowledge of tools and technology including Google Suite
  • Blackbaud Experience Preferred
  • Ability to work occasional evenings and weekends for events

Salary: 

Minimum salary range for this position begins at $54,000. Salary is dependent on numerous factors, including but not limited to education and experience.
