What we’re looking for

We are seeking a detail-oriented and experienced Admin/Liaison Officer to support the operational needs of our Manila and Cebu offices. This role is crucial in ensuring compliance with local regulations, managing relationships with government agencies, and overseeing administrative functions that are essential to maintaining smooth business operations. The ideal candidate will be highly organised, knowledgeable about Philippine regulatory requirements, and skilled in managing administrative processes.

Along with these, the candidate must possess:

  • 4+ years relevant experience as a Admin/Liaison Officer/ Compliance Officer/ Admin Officer or the like
  • Bachelor’s degree in Human Resources, Business Admin or other related field
  • Knowledge and hands on experience with government agencies (BIR, SSS, PHILHEATH, PAG-IBIG, DOLE etc.)
  • Familiarity and experience with Philippine laws and regulations, particularly those relevant to the specific industry (e.g., Data Privacy Act, Securities Regulation Code, Labor Laws)
  • Strong understanding of corporate governance and risk management
  • Ability to interpret legal and regulatory requirements and translate them into actionable policies
  • Experience with business permits and renewal
  • Excellent analytical, communication and interpersonal skills to liaise with internal and external stakeholders
  • Keen attention to details and great sense of ethics in doing the job unsupervised

 

What to Expect in the Role

Key Responsibilities:

Government Liaison:

  • Serve as the primary point of contact with Philippine government agencies, including the Bureau of Immigration, Department of Labour and Employment (DOLE), and other regulatory bodies.
  • Manage the process for obtaining and renewing work permits, visas, and other necessary documents for expatriates and local employees.
  • Ensure the business complies with local laws, regulations, and reporting requirements.
  • Increase the focus of Government liaison to include
  • BIR (in conjunction with and on behalf of Finance)
  • Regulatory bodies including municipality authorities
  • Ensuring compliance with all related permits and authorities
  • Act as a local business representative and signatory where appropriate and as authorised
  • In admin operations include ‘in consultation with Finance’ in relation to bank accounts
  • Liaison with key stakeholders including BU and Divisional leaders, finance HR and Corporate Development

Administrative Operations:

  • Handle the setup and maintenance of corporate bank accounts, ensuring compliance with financial regulations.
  • Manage office leases, facilities, and utilities for Manila and Cebu offices.
  • Collaborate with internal IT teams to ensure office infrastructure and equipment meet operational requirements.

Compliance and Documentation:

  • Maintain up-to-date records of all government-related documents, including business permits, registrations, and compliance certifications.
  • Ensure timely submission of reports and renewals required by local authorities.
  • Monitor changes in regulations and advise leadership on necessary adjustments.

Vendor and Supplier Coordination:

  • Liaise with landlords, service providers, and other local vendors to negotiate contracts and ensure quality service delivery.
  • Ensure that vendor relationships are managed effectively to support office operations.

Risk and Escalation Management:

  • Identify and address potential compliance risks, escalating issues to leadership when necessary.
  • Act as a resource for resolving operational challenges related to government or administrative processes.

Health and Safety Compliance:

  • Ensure adherence to WHS (Work Health and Safety) policies and procedures across offices.

  • Mon- Fri (Cebu office)
