Job Description
Supply Procurement Management and Reconciliation:
- Draft or review Nex's purchase orders (POs) to Nex's suppliers, and keep accurate and timely record of all POs issued.
- Collaborate with suppliers and internal teams to resolve discrepancies in a timely fashion.
- Review incoming invoices from suppliers for accuracy, ensuring they match the corresponding purchase orders and shipping documents, keep accurate and timely record of invoices received and payments issued, and track outstanding balance of each PO.
- Conduct detailed reconciliations between invoices, POs, and shipment receipts, addressing any discrepancies in a timely manner.
- Coordinate with vendors and internal teams in different time zones to resolve invoice discrepancies and payment issues.
Shipment Tracking, Verification and Cost Analysis:
- Track shipping costs, analyse discrepancies, and report on variances between estimated and actual shipping expenses.
- Review invoices from logistics and fulfilment service providers for accuracy, identify and dispute over-charges, and identify opportunities for cost savings.
- Collaborate with fulfilment teams to ensure smooth and cost-effective shipment processes.
Financial Reporting:
- Prepare regular reports on invoicing, and shipment activities, providing insights on cost trends, discrepancies, and areas for improvement.
- Assist in forecasting and budgeting for fulfilment-related expenses.
Process Improvement:
- Identify opportunities for process improvements in fulfilment, invoicing, and shipment tracking to streamline operations and reduce costs.
- Work cross-functionally between different teams to ensure smooth coordination and data accuracy.
Key Qualifications
- Bachelor’s degree in Finance, Accounting, Supply Chain Management, Business Administration, Shipping or a related field.
- 2+ years of experience in a fulfilment, supply chain, or logistics role with a focus on budgeting and cost management.
- Strong analytical skills with the ability to interpret complex financial data and derive actionable insights.
- Strong attention to detail and ability to identify discrepancies in purchase orders, invoices, and shipment records.
- Excellent organisational and communication skills, with the ability to work effectively with cross-functional teams.
- Ability to work independently and prioritise tasks in a fast-paced, deadline-driven environment.
- Knowledge of third-party logistics, e-commerce, or retail fulfilment processes is a plus.
- Proficiency in Microsoft Excel; experience with ERP systems (SAP, Oracle, or similar) is a plus.
- Knowledge of international trade, import/export procedures, and customs regulations is a plus.
- Familiarity with financial modelling and cost analysis techniques.
Compensation
- Expect to work 1-3 hours/day, total working hours is around 10-15 hours/week
- Part-time employment, a 3-month contract, with the possibility to extend
