Chief of Staff

The Chief of Staff at Noctrix Health is a strategic and operational leader who works closely with the CEO to amplify their effectiveness and drive company-wide priorities. This high-impact role serves as the central coordinator for executive initiatives, ensuring alignment across teams and optimizing organizational performance. Acting as a thought partner to the CEO, the Chief of Staff manages strategic projects, enhances cross-functional collaboration, and facilitates decision-making at the highest levels. 

This role bridges strategy and execution, enabling the CEO to focus on long-term vision and growth. The Chief of Staff will act as a trusted advisor, managing critical priorities, setting measurable goals, and fostering a culture of data-driven decision-making across the organization. This position requires a balance of strategic insight, operational excellence, and exceptional communication skills, combined with the ability to lead initiatives in a dynamic, fast-paced environment. This position reports to the CEO.   

Responsibilities: 

  • Strategic Partnership: 
    • Serve as a trusted advisor to the CEO, offering strategic counsel and insights for high-impact decision-making 
    • Proactively anticipate the CEO’s needs and handle urgent matters independently 
    • Collaborate with the Executive Team and Board of Directors on tactical matters and represent the CEO in internal executive meetings as needed 
  • Operational Leadership: 
    • Prepare briefing materials, talking points, and key documentation for high-stakes meetings and events 
  • Executive Team Coordination: 
    • Facilitate and manage weekly executive meetings, ensuring agenda setting, follow-ups, and accountability tracking 
    • Oversee quarterly business reviews, including agenda development and action item tracking 
    • Act as a liaison between the CEO’s office and the Board of Directors, managing board updates, quarterly meetings, and off-site event coordination 
  • Key Initiative Management: 
    • Lead strategic projects, including investor updates, executive presentations, and leadership retreats 
    • Support fundraising efforts and ensure alignment with investor relations 
    • Organize company-wide events such as town halls and leadership retreats 
    • Work cross-functionally to implement new initiatives, resolve operational bottlenecks, and scale emerging functions 
  • Policy and Practice Optimization: 
    • Develop and implement policies that enhance collaboration and operational efficiency while aligning with Noctrix Health’s mission and values 
    • Identify inefficiencies and redundancies, driving process improvements across teams 
    • Document and promote best practices to support sustainable growth 
  • Goal-Setting and Tracking: 
    • Oversee the company’s OKR (Objectives and Key Results) process, collaborating with functional leads to set, monitor, and refine measurable goals 
    • Establish and maintain systems for tracking progress on high-priority projects 

Requirements: 

  • Bachelor’s degree in business, Healthcare Management, or a related field; advanced degree (MBA, PhD) strongly preferred 
  • 10+ years of experience in consulting, operations, or similar roles requiring analytical and strategic expertise 
  • 5+ years of leadership experience in the healthcare, medical device, or biotechnology industries 
  • Proven success in driving initiatives from inception to execution in a fast-paced, high-growth environment 
  • Expertise in data analytics, KPI management, and commercial operations within a healthcare or medical device company 
  • Proficiency in tools like Tableau, Power BI, or similar platforms for data visualization and analysis 
  • Exceptional project management and organizational skills, with a strong attention to detail 
  • Ability to manage confidential information with discretion and integrity 
  • Strong interpersonal and communication skills, with high emotional intelligence 
  • Quantitative skills and comfort with financial models, data analysis, and reporting 

Compensation: 

  • Base Pay: $185,000 per year + yearly bonus + stock options 

This is a hybrid position located in our Pleasanton HQ.
