The Opportunity

This is not a traditional administrative role.

The Executive Assistant to the CEO will operate as a strategic partner and operational quarterback — helping drive organizational efficiency, executive execution, communication flow, and cross-functional coordination across a fast-moving SaaS business.

This individual will also play a key role in cultivating a productive, welcoming, and highly organized office environment for our Atlanta team and visiting employees, customers, and partners.

What You’ll Do

Executive Operations & Prioritization

  • Manage the CEO’s calendar, scheduling, travel, and daily priorities with strategic awareness
  • Anticipate scheduling conflicts and proactively optimize time allocation
  • Prepare briefing materials, agendas, talking points, and follow-up action items for internal and external meetings
  • Serve as a gatekeeper and strategic filter for inbound requests and communications

Atlanta Office Management & Operations

  • Oversee the day-to-day operations and experience of the Atlanta office
  • Coordinate office logistics, vendor relationships, supplies, facilities requests, and workspace organization
  • Ensure the office environment reflects Northspyre’s culture, professionalism, and operational standards
  • Partner with leadership and People Operations to support onboarding, employee events, team gatherings, and office culture initiatives
  • Help coordinate executive visits, customer meetings, recruiting events, and internal offsites hosted in the Atlanta office
  • Act as a point of contact for office-related needs while helping maintain a positive and highly functional workplace experience

Cross-Functional Coordination

  • Track executive initiatives and ensure timely follow-through across departments
  • Coordinate leadership meetings, board-related logistics, investor interactions, and company-wide communications
  • Partner closely with department leaders to maintain organizational alignment and accountability
  • Assist in driving operational cadence and executive workflows

Strategic Support

  • Conduct research, synthesize information, and prepare summaries for executive decision-making
  • Help organize and execute high-priority projects and special initiatives
  • Draft internal communications, presentations, and executive correspondence
  • Support preparation for board meetings, fundraising activities, customer engagements, and strategic partnerships

Culture & Leadership Enablement

  • Help foster a high-performance, organized, and positive executive operating environment
  • Maintain the highest standards of confidentiality, professionalism, and discretion
  • Represent the CEO and Northspyre with maturity, judgment, and strong interpersonal skills

What We’re Looking For

  • Early-career professional with experience supporting senior leaders, coordinating high-priority initiatives, or operating in fast-paced startup, hospitality, operations, or client-facing environments; strong potential, professionalism, and organizational ability are valued as highly as years of experience.
  • Experience in a high-growth startup, SaaS company, consulting firm, investment environment, or commercial real estate organization preferred
  • Prior experience supporting office operations, workplace management, or employee experience initiatives is strongly preferred
  • Exceptional organizational and project management skills
  • Outstanding written and verbal communication abilities
  • High emotional intelligence and strong professional judgment
  • Ability to manage ambiguity, shifting priorities, and confidential matters with discretion
  • Strong proficiency with modern productivity tools including Google Workspace, Microsoft Office, Slack, ClickUp, and calendar management platforms
  • Naturally proactive with a “figure it out” mentality
  • Comfortable operating independently while maintaining alignment with executive priorities
