Working Hours: Monday to Friday, 9:00 AM – 5:30 PM (flexible per policy)

Role Overview

We are seeking an experienced Enterprise Vendor Project Management Specialist (Consultant) to support a portfolio of strategic initiatives within a large global organization. The role provides advanced coordination, documentation management, governance support, and analytical oversight across both enterprise vendor management and enterprise project management functions. This consultant will help strengthen operational frameworks, enhance procedural documentation, support technology/tool selection, and enable efficient delivery of key strategic programs.

Key Responsibilities

    1. Enterprise Vendor Management
    • Review, update, and finalize vendor management Standard Operating Procedures (SOPs), templates, and checklists.
    • Incorporate enhanced elements into vendor documentation, including exit strategy clauses and AI‑related risk assessment criteria.
    • Maintain and update SharePoint and internal documentation repositories for vendor processes.
    • Develop interactive Power BI dashboards to track vendor performance, risk levels, contract activities, issues, and KPIs/KRIs.
    • Lead the end‑to‑end project to assess, select, and implement a vendor management solution/tool.
    1. Enterprise Project Management
    • Ensure compliance with Enterprise Programme Management (EPM) governance frameworks, maintaining relevant tools, templates, and documentation.
    • Review, update, and develop project management SOPs, frameworks, templates, and operational processes.
    • Strengthen processes related to project intake, benefits realization, and project risk management, including maintaining a Benefits Register.
    • Maintain and update SharePoint repositories for all project documentation.
    • Build Power BI dashboards for tracking project KPIs, risks, issues, decisions, benefits, and lessons learned.
    • Lead the initiative to assess, select, and implement a project management platform, supported by checklists and operational procedures.
    • Develop a glossary of AI Copilot prompts tailored for project and program management use cases.
    1. Coordination, Governance & Administrative Support
    • Provide end‑to‑end meeting support, including scheduling, stakeholder coordination, facilitation, note‑taking, and follow‑up.
    • Assist with budget tracking, purchase orders, and invoice management.
    • Support the team with additional ad hoc administrative or governance tasks as needed.
    1. Reporting, Documentation & Quality Assurance
    • Ensure all documentation is current, accurate, and centrally organized.
    • Produce high‑quality written materials, structured reports, and clear presentations for a range of stakeholders.
    • Monitor progress on initiatives, track risks and dependencies, and support timely delivery of all program activities.

Required Skills & Experience

    • Minimum 5 years of experience in vendor management and/or project management.
    • At least 3 years of experience within a global financial institution.
    • Proven experience in:
      • Vendor risk assessments and performance management
      • Contract management and sourcing
      • Managing projects using formal project management methodologies
      • Creating analytics or dashboards using Power BI
    • Experience with third‑party risk management tools and/or project management software (preferred).

    Skills

    • Excellent written and verbal communication skills.
    • Strong analytical, organization, and problem‑solving abilities.
    • Ability to draft clear documentation and present to diverse audiences.
    • Proficiency in SharePoint, Power BI, and other modern reporting tools.

Education

  • Master’s degree in Business Administration, Project Management, Engineering, IT, or a related field.
  • A Bachelor’s degree with relevant experience may be considered.
  • Professional certifications (highly desirable):
    • Vendor/Procurement: CIPS, CPSM, or equivalent
    • Project Management: PMP, PRINCE2, MSP, or equivalent
