DEPARTMENT OVERVIEW:
The Asset Management (AM) Division is at the forefront of managing NYC’s largest and most diverse portfolio of real estate and transportation assets. The AM Division is responsible for the linking policy goals with full life-cycle management of its broad portfolio, including retail spaces, commercial buildings, industrial sites, ports, public markets, theaters, and major campuses through capital planning, design and construction, asset and facilities management, and enterprise operations. The division is at the forefront of shaping New York City’s infrastructure and regional economic landscape.
POSITION OVERVIEW:
The Business Operations Analyst will support the execution of divisional priorities by driving efficient onboarding, managing administrative systems, and coordinating internal operations. Reporting to the Vice President of Executive Operations, this role plays a crucial part in enabling operational effectiveness through collaboration, coordination, and a continuous improvement mindset. This role is ideal for a proactive, organized, and detail-oriented individual who thrives in a fast-paced, mission-driven environment.
KEY RESPONSIBILITIES:
Cross-Functional Support:
- Collaborate with the VP of Executive Operations on research and coordination of division-wide initiatives and communications.
- Assist the division and VP of Executive Operations with annual capital planning and budget process.
- Support the division and VP of Executive Operations in critical meetings with city officials, other division heads, developers, tenants, and community leaders.
Process Improvement & Knowledge Management
- Manage daily operational activities of the division alongside the VP of Executive Operations, streamlining to improve efficiency and effectiveness in line with strategic goals and compliance standards.
- Identify and implement improvements to internal workflows (onboarding, procurement, contracting, etc.).
- Draft and standardize internal process documentation and procedural guides.
- Maintain shared documentation platforms such as SharePoint.
- Support cross-departmental initiatives by coordinating agendas, notes, and action tracking.
Onboarding & Administrative Systems
- Lead onboarding coordination for new hires, including system access, pre-start tasks, and scheduling.
- Maintain and update onboarding templates, resources, and checklists.
- Manage and regularly update the division’s org chart, seating chart, and team rosters.
- Review performance metrics to understand the division’s success and areas for improvement. Assist the VP of Executive Operations with implementing corrective measures when necessary and report outcomes to the EVP.
Other Essential Duties and Responsibilities:
- Support and/or participate in special projects with President’s Office, City Hall, or other agencies, including grant applications, MWB/e and outcomes reporting.
- Contribute to special projects and strategic priorities in collaboration with senior staff.
- Other duties as assigned.
QUALIFICATIONS
- Bachelor’s degree or equivalent experience required.
- 2-3 years of experience in operations, administration, or project coordination; experience in government, economic development, or real estate a plus.
- Strong organizational skills and a high level of attention to detail.
- Demonstrated communication skills—both verbal and written.
- Ability to manage multiple priorities, work independently, and respond flexibly to changing demands.
- Proven ability to identify inefficiencies and recommend process improvements.
- Experience coordinating across departments or managing logistical processes.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); familiarity with SharePoint, Teams, and OneDrive preferred.
- Familiarity with Concur or procurement systems a plus.
- Interest in real estate, planning, or public-sector operations is a plus.

Salary Range
$70,000 - $72,000 USD
