
Senior Associate, Property Operations

Position Overview: The Senior Associate within Asset Management, Property Operations will assist in the Operations Management of City-owned properties. This role will oversee a portfolio of diverse locations and be the primary operations point person. This role will work directly with contracted staff, field employees, portfolio management, design and construction teams, and will report to the VP, Director of Markets & Commercial Sites. This is an on-site position (not hybrid), scheduled Monday through Friday, with work expected at OLP, Seaport, and Arthur Avenue locations. This role may occasionally require availability on weekends for work-related events or meetings.
Essential Duties & Responsibilities:
- Management-tenant relations: Respond to property requests and delivering services to tenants, non-excluding emergency calls and repairs.
- Field Management- Management of on-site contracted janitorial services, contracted security services, as well as EDC retainer contractors performing various maintenance services and repair work within the properties.
- Systems and Property Maintenance: Ensure all building systems are operable, reliable, and safe for use. Responsible for arranging ongoing monthly maintenance and repairs and coordinating with contractors, mechanics, and porters to perform maintenance and repairs of building systems as required.
- Emergency Response: Respond to emergencies as required. Must be available and responsive 24/7 and able to help provide solutions during the decision-making process as issues arise.
- Property Management: Expected to work at the portfolio of assets that they manage. Working with field employees on being proactive with property improvements and repairs. Monitor all tenant improvements ensuring compliance with building codes and insurance regulations. Provide immediate action to alleviate problems. Interact with all tenants and portfolio management asset managers for assigned properties. Oversee and maintain service entries on EDC Maintenance Software (HappyCo).
- Site Inspections: Own the implementation and roll out of inspection plans, process improvements for properties and staff assigned there and remedy problems as encountered.
- Budget Preparation and Control: Own the preparation of the annual property expense budget and monitor budget against commitments and invoices, as well as manage contractor billing in Concur, Bumble Bee, ACDC-MRI Extension and Muninn or any other software for assigned properties.
- Staff: Assist in general supervision of maintenance and security staff. Create and implement daily, weekly, and monthly maintenance schedules.
- Schedule: This is an on-site position (not hybrid), scheduled Monday through Friday, with work expected at OLP, Seaport, and Arthur Avenue locations. This role may occasionally require availability on weekends for work-related events or meetings.
- Other duties as assigned.
Qualifications:
- Bachelor’s Degree in Facilities Management, Business Administration, Property Management, Engineering, or related with an interest in facilities operations
- 3+ years of experience in operations roles, building, and/or facilities
- Experience overseeing properties and/or projects with competing priorities
- Proven ability to work effectively across multidisciplinary teams
- Demonstrated written and verbal communication skills (drafting memos, presentations, etc.)
- Experience in project management and familiarity with project management programs and processes
- Proficient in Microsoft Word, Outlook, Excel, PowerPoint
- Valid driver’s license
- Familiarity with typical building systems
- Familiarity with building and fire code codes/regulations
- Familiarity with typical refrigeration systems
- Familiarity with snow removal procedures and plans
- 24 hour on-call response
- New York City residence within 180 days of hire
Salary Range
$80,000 - $82,000 USD
