The Asset Management Property Operations Department is responsible for protecting and enhancing the value of City-owned real estate assets and supporting the operational needs of tenant businesses. The Department oversees property operations, facilities services, vendor and contractor coordination, maintenance activities, procurement, and property-related administrative and financial functions.

Position Overview: The Operations Associate will support the day-to-day operations and management of City-owned properties within the Asset Management portfolio, with a primary focus on the MADE Campus in Brooklyn, NY. This position will work closely with NYCEDC Asset Management leadership, on-site field staff, tenants, contractors, and other internal and external stakeholders to ensure that the campus is safe, well-maintained, operationally effective, and responsive to tenant and property needs.

This is an onsite position requiring a five-day-per-week presence at the MADE Campus, with travel to NYCEDC’s main office at One Liberty Plaza as needed.

Essential Duties and Responsibilities:

  • Property & Tenant Operations: Support the day-to-day operations of the MADE Campus, respond to tenant needs, conduct property inspections, identify issues, and coordinate timely resolutions and improvements. Coordinate with portfolio Asset Managers and other NYCEDC teams regarding property operations, tenant needs, repairs, and improvements.
  • Facilities & Maintenance: Monitor building systems and facilities to ensure they are safe, reliable, and properly maintained. Coordinate preventive maintenance, repairs, work orders, and contractor activities. Conduct regular and random property visits to identify maintenance needs, potential issues, and opportunities for proactive property improvements. Monitor tenant improvement projects to ensure compliance with applicable building codes, fire codes, insurance requirements, and NYCEDC policies.
  • Field & Vendor Management: Assist with the oversight of NYCEDC field staff and contracted maintenance, janitorial, security, and other service providers. Ensure appropriate staffing, coverage, schedules, and completion of assigned work. Help ensure field staff are appropriately tasked, equipped, and trained to perform assigned responsibilities.
  • Inspections & Work Orders: Implement inspection plans and ensure inspections, deficiencies, and work orders are appropriately logged, prioritized, tracked, and completed in accordance with NYCEDC requirements. Ensure field personnel are properly tasked and equipped to complete scheduled inspections and work orders.
  • Emergency & After-Hours Response: Respond to property emergencies as required and participate in 24-hour on-call support, including after-hours contractor escorts, site visits, events, and other operational needs.
  • Budget & Invoice Management: Assist with annual property budgets, monitor expenditures, and coordinate contractor billing, invoicing, commitment IDs, and payment documentation. Manage contractor billing and invoicing through Concur for assigned properties and assist with reconciling monthly purchase card invoices and other property-related financial documentation.
  • Project Coordination & Reporting: Coordinate property repairs and operational projects, communicate with contractors and stakeholders, and provide timely status updates on projects, repairs, and property issues.
  • Seasonal Operations: Support snow removal and other weather-related response activities, including onsite coordination with field staff and contractors.
  • Administrative & Asset Management Support: Maintain property and operational records and assist with Asset Management systems and administrative functions. Assist with data entry and maintenance of Asset Management-related systems, including AC/DC, Munnin, and Power BI. Provide support to the broader Asset Management team under the direction of the AVP of Operations.
  • Other Duties: Perform other duties as assigned by NYCEDC leadership.

Qualifications:

  • Bachelor’s degree in Facilities Management, Business Administration, Property Management, Engineering, or a related field, or equivalent relevant experience.
  • 2+ years of experience in facilities, property, building, or operations management.
  • Experience coordinating contractors, vendors, maintenance, janitorial, security, or other field personnel.
  • Familiarity with building systems, facilities operations, and applicable building and fire codes.
  • Strong organizational, project management, problem-solving, and communication skills.
  • Ability to manage multiple priorities and work effectively both independently and as part of a multidisciplinary team.
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Strong attention to detail and ability to prepare clear reports, presentations, and project updates.
  • Valid NYS Driver’s License and demonstrated history of safe and responsible driving required 
  • Ability to participate in 24-hour on-call emergency response and provide occasional after-hours support.
  • Ability to work onsite at the MADE Campus five days per week, with travel to One Liberty Plaza as needed.
  • New York City residency required within 180 days of hire.

Salary Range

$70,000 - $72,000 USD
