Our Kenya program, founded in 2006, operates under the local brand Tupande. Close to 500 staff in our Kakamega headquarters support 1,747 field staff and serve more than 1 million farmers. In Nairobi, around 50 staff support global functions like procurement, recruitment, government relations, and communications.
About the Role
This role is responsible for managing production and sales data through different data tracking channels; SAP, COBI, google sheet. The role is also responsible for processing other administrative tasks like compiling IC’s data like contracts and payment.
Responsibilities
Product data management.
- Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry, SAP or COBI.
- Review data for deficiencies or errors, correct any incompatibilities if possible and check output
- Manage SAP and COBI data entry from production and sales source documents within time limits.
- Apply data program techniques and procedures.
- Stock counts variance investigation and explanations.
Appointed as a food safety team member
- Ensure that information on internal communication is included in the updating of the Food Safety Management System; this shall include information in your department relevant to the FSMS that FST is mandated to be aware of, for example, any changes or improvements.
- Verification of the accuracy of the flow diagrams by on-site checking,
- Maintaining records of verified flow diagrams, corrections, and corrective actions.
- Conduct a hazard analysis to determine which hazards need to be controlled, the degree of control required to ensure food safety, and which combination of control measures is required.
- Analysis of the results of the verification activities,
- Plan and implement the processes needed to validate control measures and/or control measure combinations and to verify and improve the Food Safety Management System.
- Systematically evaluate the individual results of planned verification,
- Analyse the results of verification activities, including the results of the internal audits and external audits,
- Evaluate the Food Safety Management System at planned intervals to assist top management to ensure that the Food Safety Management System is continually updated
Administrative duties
- Assist in preparation of payroll data and issuance of payslips.
- Scan documents and print files, when needed.
- Ensure proper use of office equipment and address any malfunctions.
- Ensure proper management of ICs data.
Document and Inventory Management
- In charge of file maintenance and controls.
- Generate reports, store completed work in designated locations and perform backup operations.
- Respond to queries for information and access relevant files.
- Factory inventory management - consumables, chemicals and packing materials.
- Research and obtain further information for incomplete documents.
- Comply with data integrity and security policies.
- Participate in stock counts activities.

Technical skills:
- High typing speed and accuracy.
- Attention to detail.
- Organization skills, with an ability to stay focused on assigned tasks.
- Good leadership skills.
Knowledge:
- Should possess a college certificate in a relevant field from an accredited institution; additional computer training or certification will be an asset.
- Proven data entry work experience, as a Data Entry Operator or Office Clerk.
- Experience with MS Office and data programs like SAP and COBI.
- Experience using office equipment, like fax machines and scanners.
