Position Summary:

We are seeking an experienced, highly professional Executive Assistant to the CEO to serve as a trusted partner and representative of executive leadership. This role requires strong judgment, discretion, and the ability to manage complexity with calm and precision.

The Executive Assistant will manage complex priorities, act as a gatekeeper, and represent the CEO and Oath in both internal and external settings. The ideal candidate is warm yet polished, highly organised, and comfortable navigating ambiguity in a fast-moving, mission-driven environment. This individual will proactively manage sensitive information, complex schedules, and high-level coordination with professionalism, reliability, and discretion.

The role is based in or near Basel, Switzerland, with flexibility for in-person engagement as required.

Key Responsibilities:

Executive Support:

  • Manage the CEO’s calendar, scheduling, and priorities with accuracy and foresight.
  • Prepare agendas, briefing materials, and follow-up documentation for meetings.
  • Ensure the CEO is consistently well-prepared and informed.
  • Manage work-related administrative matters for the CEO, including work permits, official documentation, and related employment requirements.

Representation & Liaison:

  • Serve as a professional and approachable point of contact on behalf of the CEO.
  • Interface confidently with senior leaders, board members, partners, and external stakeholders.
  • Represent the CEO in meetings or communications when appropriate.

Coordination & Operations:

  • Coordinate cross-functional meetings, initiatives, and executive-level activities.
  • Track decisions and action items to ensure timely follow-through.
  • Support preparation for leadership meetings, board engagements, and key events.

Travel & Logistics:

  • Organise domestic and international travel, itineraries, and logistics.
  • Anticipate and manage schedule changes with minimal disruption.
  • Ensure seamless coordination for leadership meetings, offsites, and key company. events

Technology & Ways of Working:

  • Use modern productivity tools confidently (Google Workspace, Microsoft Office, Slack, Zoom, etc.).
  • Support efficient workflows and continuous improvement of executive processes.
  • Availability to work flexible, entrepreneurial hours to accommodate multiple time zones.

Qualifications:

  • Based in or near Basel, Switzerland
  • 6-8 years of demonstrated experience supporting a CEO or senior executive
  • Exceptional organisational skills and attention to detail
  • High level of discretion, integrity, and sound judgment
  • Confident communicator with a professional, personable presence
  • Comfortable working in environments with evolving priorities
  • Strong technological competence and adaptability
  • Experience in life sciences, biotech, agriculture, or climate-focused organisations is a plus
  • Experience working with boards or international stakeholders
  • English fluency required; German and/or French strongly preferred

This role is central to the effectiveness of the CEO and the broader leadership team. The Executive Assistant will play a key role in enabling focus, clarity, and execution—while representing Oath Biome with professionalism and care.

Compensation: CHF 96,387 - CHF 110,683
