Your Role:
As an employee of Offshore Launch, you are being hired for a unique role within a target Client’s company. We value long-term partnerships, and seek to recruit talent that will serve an individual Client’s business for multiple years.
You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:
- Membership in the Offshore Launch Slack workspace
- Bi-weekly All Team meetings
- Monthly reviews

Position Overview:
We are seeking a warm, empathetic, and proactive Legal Assistant to serve as the heart of our client experience within our estate planning firm. Our work centers around helping individuals thoughtfully plan and protect their legacy. This role is pivotal in building meaningful relationships grounded in trust and compassion, beginning with the very first client interaction and continuing throughout their journey with our firm.
The ideal candidate excels in creating an atmosphere of reassurance and care, anticipates client needs, proactively resolves issues before they become problems, and confidently manages multiple priorities. This role requires a detail-oriented, structured individual who can help guide clients through each stage of the estate planning process with clarity, consistency, and empathy.
Key Responsibilities:
- Act as the compassionate first point of contact for prospects, quickly establishing trust, gathering essential information, and scheduling initial consultations.
- Maintain personalized and proactive communication with clients, ensuring clarity on next steps, appointment preparation, and timely collection of required documentation and payments.
- Proactively manage attorney schedules, confirming appointments and ensuring attorney preparedness with detailed meeting summaries.
- Prepare, send, and manage engagement letters, invoices, and payment plans, while addressing basic client inquiries and maintaining accurate records in management systems.
- Ensure all information and documentation are complete for signing ceremonies, managing thoughtful follow-ups and preparations to deliver a seamless experience.
- Occasionally assist with social media content posting and engagement monitoring, ensuring messaging reflects the firm’s compassionate and professional brand voice.
Qualifications:
- Exceptional verbal and written communication skills, grounded in empathy and professionalism.
- High emotional intelligence and the ability to foster trusting client relationships.
- Previous experience in client-facing roles with administrative support responsibilities.
- Proactive approach to problem-solving and initiative-taking.
- Highly organized, detail-oriented, and comfortable managing multiple priorities.
- Demonstrated ability to handle sensitive situations with discretion, empathy, and confidentiality.
- Familiarity with Client Relationship or Case Management platforms (e.g., InfusionSoft, Keap, Zoho, Clio) is a plus.
Training & Experience:
All Virtual Legal Assistants are required to complete our 4-week training program before being assigned to a client.
This training is designed to ensure you’re well-prepared for the work ahead. You’ll build a strong foundation in three key areas:
- Core estate planning knowledge – Understand the legal landscape well enough to support attorneys and communicate clearly with clients.
- Client communication – Develop the ability to build trust from the first interaction, using structured tools and thoughtful language.
- Workflow and systems – Learn how to stay organized, manage multiple tasks, and navigate real-world situations with calm and clarity.
After training, you’ll continue to receive support from our estate planning team. You’ll be part of a community of VLAs working in similar roles, with regular check-ins, shared resources, and 24/7 assistance available when needed.
This role is about more than task execution. It's about deeply connecting with clients, providing clarity, and supporting both clients and attorneys in creating meaningful legacies.
Compensation
- $800 to $1200/mo depending on experience
- $500 bonus at 90 days
- 13th month pay
- Comprehensive HMO (including dependents)
- Annual PTO

The Client is not involved in compensation or benefits. As an employee of Offshore Launch, all compensation and benefits are to be provided by the Agency.
