Your Role:

As an employee of Offshore Launch, you are being hired for a unique role within a target Client’s company. We value long-term partnerships, and seek to recruit talent that will serve an individual Client’s business for multiple years.

You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:

  • Membership in the Offshore Launch Slack workspace
  • Bi-weekly All Team meetings
  • Monthly reviews

Position Overview:

We are seeking a highly organized, client-centered Legal Assistant who can serve as a warm and competent point of contact for our clients, leads, and referral partners. This person will manage scheduling, answering the phone, promptly responding to emails, taking accurate messages, preparing, and sending engagement letters and payment/invoices, and build lasting relationships that start the moment a client calls or reaches out to our firm.

The ideal candidate is proactive, personable, able to predict issues before they become problems and independently resolve them, and thrives in an environment with multiple competing priorities. They should feel comfortable taking initiative, solving problems independently, and speaking with clients or firm prospects who may be overwhelmed, frustrated, or in need of further explanation.

Key Responsibilities:

You will have high touch with prospects before they are clients, while they are clients, and even after they are clients.

Prospect Relationship & Support:

- Serve as the first point of contact when prospect calls or emails our firm
- Quickly builds rapport with prospects
- Gathers all necessary information from prospects and appropriately logs data into CRM
- Efficiently schedules clients for initial consultation
- Motivates prospects to complete their “intake homework” or “intake questionnaire”

Client relationship Support:

- Nurtures and engages prospects after they become clients, providing consistent, reassuring communication throughout the planning process
- Calls all clients to remind them about upcoming appointments and ensuring they are prepared
- Meet virtually with clients, or call them, at the end of the initial consultation to:

  • Request missing information and asset documentation
  • Confirm payment details or schedule payment plans
  • Explain next steps and schedule the Signing Ceremony
  • Enter relevant data into the Case Management System

Scheduling & Calendar Management

- Manage all scheduling for the attorney, including:

  • Client appointments
  • Prospective client calls
  • Referral partner meetings

- Ensure the calendar remains up-to-date and aligned with priorities
- Confirm appointments and follow up as needed

Administrative & Legal Tasks

- Send engagement letters, invoices, and follow-up emails for payment
- Track and update payment plans and scheduling of meetings in cash flow systems
- Answer basic client questions
- Support trust funding process by gathering and confirming client documents
- Conduct light data entry into the Client Relationship Management System or Case Management System

Signing Ceremony Preparation

- Request and follow up on any outstanding client information
- Confirm signing date with clients
- Send thank-you gifts to clients or referral partners

Social Media Support

- Possibly Assist with light content posting and scheduling
- Monitor engagement and support client-facing messaging
- Ensure consistency with brand voice and values

Qualifications

- Exceptional verbal and written communication skills in English
- Top tier interpersonal skills and emotional intelligence
- Previous experience in client support with administrative duties
- Ability to work independently
- Incredibly detail oriented, highly organized and self motivated 
- Tenacious, eager to learn, and confident in upholding professional standards
- Familiarity with Client Relationship or Case Management platforms (e.g., InfusionSoft/Keap/Zoho/Clio) a plus
- Ability to handle sensitive situations with empathy and professionalism

Compensation

- $800 to $1200 depending on experience 
- $500 bonus at 90 days 
- 13th month pay 
- Comprehensive HMO (including dependents) 
- Annual PTO
