About the Role

We help busy, high-net-worth families run their households with ease by providing white-glove home management—from coordinating contractors on renovation projects to running our unique household chore service that covers laundry, groceries, organization, and more. Our mission is simple: take care of the details so our clients can focus on what matters most.

As we grow, we’re seeking an Operations Admin to orchestrate the many moving parts behind our clients’ homes and to directly support the Founder. This is a hybrid role—part Executive Assistant, part Household Operations Coordinator. You’ll manage the Founder’s inbox and calendar, schedule and match household staff with clients, coordinate with vendors, and ensure weekly updates go out on time.

This isn’t a back-office role. You’ll be the central point of coordination for families who expect the very best. If you thrive on creating order out of chaos, love building systems, and have a knack for logistics and communication, this role offers both challenge and opportunity.

 
Responsibilities
  • Inbox & Calendar Management – Own the Founder’s email and calendar. Achieve inbox zero daily, prioritize messages, and ensure the calendar reflects all commitments and confirmations.
  • Home Admin Scheduling – Match staff availability with client needs based on geography, timing, and task lists. Build and maintain a simple, reliable system for this scheduling.
  • Vendor & Project Coordination – Schedule and confirm appointments with residential service providers. Track changes, reschedules, and follow-ups until project completion.
  • Weekly Client Updates – Draft and send polished Friday updates summarizing active projects and progress, based on notes, dictations, or transcripts.
  • System & Process Building – Improve on “good enough” systems. Document, streamline, and optimize tools and workflows to reduce friction.
  • Database & Task Management – Keep vendor, staff, and client details organized and current across our tools (Microsoft Lists, QuickBooks Workforce, HomeZada, HubSpot).
 
Job Requirements
  • Proven EA or Coordinator Experience – You’ve managed complex calendars, email, and logistics at scale.
  • Operational Mindset – Strong at structuring messy processes into clear, repeatable systems.
  • Tech & Systems Fluency – Quick to learn new platforms (Microsoft 365, QuickBooks Workforce, HomeZada, HubSpot, etc.) and confident recommending new tools or automations that improve scheduling, task management, or client communication.
  • Communication Excellence – Clear, professional written and verbal communication, with the ability to draft client-facing updates.
  • Proactive & Detail-Oriented – Anticipates needs, solves problems before they escalate, and keeps commitments tight.
  • Adaptability – Thrives in a growing, entrepreneurial environment where not all systems are built yet.

Schedule: 7AM - 3PM CST

Compensation & Benefits (to be provided by Offshore Launch):

  • $800-$1400/mo. depending on experience
  • Annual bonus up to 150% of monthly salary
  • 13th month pay
  • 16 Days PTO
  • Comprehensive HMO policy, including dependents.
  • Annual continuing education budget to support professional development
