Your Role:
We are a U.S. based QuickBooks education company with a large online following. We teach accountants, bookkeepers, and small business owners how to master the software that runs their business — through engaging classes, digital courses, and books that make learning feel human again.
We’re entering a growth phase that requires stronger production support across our publishing, marketing, and training operations. Our team is small, fast-moving, and deeply technical. Every week we’re updating PowerPoints for live classes, preparing new materials for translation, formatting long Word documents for upcoming book releases, and coordinating course listings across partner platforms.
We’re looking for someone who thrives on precision, organization, and follow-through—someone who enjoys getting deep into formatting styles, templates, screenshots, and file structures. If you’re fluent in Microsoft Office, comfortable learning new software quickly, and take pride in clean, consistent work, you’ll fit right in.
Key Responsibilities
-
Publish and format long-form documents in Microsoft Word — including use of style sheets, nested tables, cross-references, index building, and consistent long-document management.
-
Prepare manuscripts for submission, ensuring formatting aligns with publisher requirements and brand standards.
-
Proofread, format, and maintain all publishing documents and templates to a professional, ready-to-publish level.
-
Convert and update PowerPoint decks (60–300+ slides) into new branded templates using master slides and automation tools rather than manual edits.
-
Apply company-wide branding and formatting updates across Word, PowerPoint, and marketing materials.
-
Assist with marketing operations, including social media posting, newsletter layout, and light copy drafting guided by a communications style guide (in development).
-
Leverage AI tools such as ChatGPT to generate or refine posts, newsletters, and engagement content consistent with brand tone.
-
Support ad hoc and special projects with strong initiative, organization, and independent problem-solving.
Requirements:
-
Advanced proficiency in Microsoft Word and PowerPoint, including use of styles, templates, long-document formatting, and master slides.
-
Strong attention to detail and consistency, with the ability to maintain high standards across large, complex documents.
-
Familiarity with QuickBooks Online — not for accounting work, but to navigate, generate screenshots, and understand context for course and book materials. (This can be learned through self-guided tutorials.)
-
Comfort using AI tools (e.g., ChatGPT, Descript, ElevenLabs) to assist with writing, translation, and content creation workflows.
-
Organized and proactive, able to manage multiple projects and follow through without close supervision.
-
Quick learner who adapts easily to new software, platforms, and evolving priorities.
-
Experience with social media scheduling tools (e.g., Buffer) and light content publishing is a plus.
-
Mac and PC proficiency preferred; the role requires comfort switching between both environments.
Schedule: 9AM - 5PM PST
